Tournament Protocols
As a USTA/North Carolina Level 2, USTA/Southern Level 3 event
and USTA National Level 5 event, we will follow all policies established by
USTA/Southern related to the operation of the tournament. WE WILL ALSO FOLLOW
ALL USTA/NORTH CAROLINA PROTOCOLS RELATED TO DEALING WITH THE CORONA VIRUS.
Details of the Corona Virus Protocols are posted below and will also be emailed
to all participants once player selection has been completed.
IMPORTANT TOURNAMENT INFORMATION
All Players and Parents MUST Know this Information!
While the tournament is taking many precautions to ensure the
safety of all players and parents who are participating, ALL PLAYERS AND
PARENTS MUST TAKE PERSONAL RESPONSIBILITY for their own safety while attending
the event. The regulations below are to ensure that the tournament is doing
everything it can to provide a safe competitive environment. The Tournament
Staff would like to thank each of you for your questions and patience as we try
to provide a quality tournament experience for each of you in the pandemic
world. We ask that you comply with the rules and regulation we have laid out
for the safety of everyone involved. The rules are in effect at each of the
sites and will be enforced by Tournament Staff and USTA Officials.
We will maintain an Alternate List. It is the player's
responsibility as an alternate to check each day to see if they have made it
into the draw.
Any
Alternates that may be placed in the draw beginning on Friday, July 31st will be contacted by
the Tournament Referee and given a one--hour time period to determine if they
wish to be placed into the draw. If the time expires, the Tournament Referee
will go to the next available alternate.

Homepage. There is no fee for downloading the app if you use this link. If you
DO NOT use this link, it will ask you for payment.
1. All players and parents must follow the directions given below to
participate in this tournament. To ensure public safety during the COVID
pandemic, all players and parents MUST follow the regulations listed or
directions given by tournament officials or staff. Any player or parent
that does not follow the protocols set forth below will be removed from the
tournament and asked to leave the premises.
2. All draws will use the USTA/Southern Pilot Level 3 format. The draw will
have a modified consolation format. All matches will the best 2-of-3 tiebreak sets with a match tiebreak in lieu of a full third set.
3. The tournament will be played on Saturday, Sunday and Monday at five
separate sites: Asheville Racquet Club Downtown, Country Club of Asheville,
Hendersonville Racquet Club, Brevard Racquet Club and Jackson Park. (The
GPS address to each site is listed below). Each site will follow the protocols
listed here. These other sites are gracious enough to let us use their
facilities, as many facilities in the area will not allow outsiders to use
their courts. The protocols listed here are to ensure compliance with their own
facility policies during the pandemic.

Please note that match sites are subject to change depending on actual draw sizes and specific scheduling situations.However, the surface for each division will not change.
4. Players and parents are to bring their own chairs and water to each
match. The facilities will not provide seating for players or spectators
and will not have water available. Each player may have ONE
parent/guardian/chaperone/representative with them on the grounds of the
facility. Any other persons who may be travellng with the
player MUST remain in the car for the duration of their time
on the grounds of all facilities. Violations of this regulation will result in
a player being removed from the tournament. No pets are allowed on the grounds
of the facilities. Masks must be worn by players and player representatives when
in any indoor building per current North Carolina law.
5. Only players or the person with the player may use the restroom
facilities at each site. Other persons will not be allowed into the
buildings at each site.
6. Players and their parties are expected to remain in their cars or leave
the facility at any time there are not on court playing a match. Players
are not allowed to remain on the facility grounds to watch their friend’s
matches or to watch the matches for their brother or sister. Players are
counted as the player representative for the purpose of these protocols when
not playing a match.
7. There will be a sign on each court designating a place for Player A
and Player B to place their chair and other belongings. Players MUST use this
space on the court and NOT use any other benches, gazebos or other space on the
court. Player A will be the player listed on the top line of the match in the
drawsheet. Player B will be the player listed on the bottom line of the
drawsheet for that match.
8. The person accompanying the player must set up their chair in the specified
viewing area. This designated area will be a minimum of 20 feet away from the
court and may require the spectator to view the match from a long distance
several courts away or through windscreens on the fences. We will not be using
chairs, bleachers or other seating areas at the various facilities. Violations of these protocols will
result in the player being removed from the tournament and the player
representative being asked to leave the grounds.
9. All matches will be played by The Code for unofficiated matches. Officials will be available for rules
questions or to settle other disputes, but will not be on the court serving as
personal line judges during the tournament.
10. The protocol for all matches will be as follows:
- Players will arrive on
site, REMAIN IN THEIR CAR and check in through the Match Tennis
App a minimum of 15 minutes prior to their scheduled match time.

Lateness penalties will be assessed per USTA rules. This means that if a player is late getting to their assigned court by the match time, lateness penalties will apply. You must allow extra time to check-in with the Match Tennis App and then for the staff to assign courts. If a player is late reporting to a court, the excuse of "Well I checked-in by my match time and it took the staff time to assign my court" will not preclude lateness penalties. This is the reason for being ON-SITE and checking in through the Match Tennis App 15 minutes prior to your match time.
- Players
must be ON SITE prior to checking in through the Match Tennis App.
Violations of this protocol will be penalized. All players must remain on site
once checking in through Match Tennis App.

Players will have 5 minutes to report to their court once a court assignment is
given. Lateness penalties will apply to players who show up to their court
assignment late.
- The player listed on the top line of the match in the draw will be designated
as Player A. The player listed on the bottom line of the match in the draw will
be designated as Player B. Players will set their chair and other items in
the designated place on the court according to their designation as Player A or
Player B.
- Players will spin the racquet themselves to determine choice of serve or
side. Balls will already be placed on the court at the net for the match.
- Two cans of balls will be available for use for each match. Site Officials and staff will place the balls opened in the cans on each court prior to play. One can will be ODD
numbers and the other can will be EVEN numbers to designate which player uses
which balls for serving. Players are NOT to mark the balls in
any way using markers or other items.
- Upon completion of the match, players will have five minutes to leave
the court, drop their match balls into the designated box and submit their
final score through the Match Tennis App.
- When you receive your court assignment, you
must select confirm in order to submit your score after the match.
11. All matches will play the best two of three tiebreak sets with a match
tiebreaker in lieu of a full third set with regular scoring.
12. To ensure social distancing and control the flow of people at the
tournament, we will utilize a SET TIME SCHEDULING FORMAT. Matches will be scheduled for specific periods throughout the
day. Any match that goes past the specified timed period will continue until completed. Any match that extends past that playing time will result in the next match
for that court starting late, but we anticipate being able to catch up on time
in the next round for any matches that go longer.
13. Although courts may be “open” between
matches. Players are NOT to use the
courts for warm-up. Practice courts will NOT be available at any of the
tournament facilities for practice or warm-up. There are other park and
recreation facilities in the Asheville area for warm-up on a first-come, first
serve basis. More information will be given prior to the tournament.
14. Once
a player is assigned to a court for a match, the player MAY NOT LEAVE THE COURT
FOR ANY REASON. If the player needs to use the bathroom or has another
issue, they should remain on the court and RAISE THEIR RACQUET so that the Site
Director or Official can see them and come assist them. Players who leave the
court prior to obtaining permission will be issued a Code Violation for Unsportsmanlike Conduct.
15. Bathroom breaks will be allowed based on the
circumstances. Efforts by players to use a bathroom break to change the flow
of the match will NOT be tolerated. Any bathroom breaks should be taken at
the end of a set or on a changeover. Bathroom break requests at the end of a
set where the official or Site Director feels that the player is trying to
change the flow of the match may not be granted until the set is completed.
All divisions may be played on hard or clay courts depending on the draws.
Consolation draws may switch to another surface if necessary for scheduling.

How
do I know when to report to the court for the match?
For ALL matches, a message will be sent through the Match Tennis App to
your cell phone register in the app when you should report to your court. This
message should be sent roughly 5-10 minutes prior to your match time.

do I know what court to report to for the match?
For ALL matches, a message will be sent through the Match Tennis App to
your cell phone register in the app as to which court you should go to. This
message should be sent roughly 5-10 minutes prior to your match time.
Is
there a warm-up period prior to each match using the set time scheduled format?
Players will still receive a 5-minute format prior to play.
Will
there be warm-up courts available for use at the playing sites?
No, there will not be courts available for use by players for a warm-up
on site. If a court happens to be open, we ask that all players and parents DO
NOT go on these courts!
Where
will the Tournament Desk be located?
The main tournament desk will be located at Asheville Racquet Club
Downtown. All communication with the tournament desk can be made through the
Match Tennis App or by texting/calling 704-300-7940. There will be a Site Director
for each site.
What
if I have an issue during my match? How can I get help?
First, STAY ON COURT! Raise your racquet so the official or tournament
staff can see you and they will come to your court to assist you.

Hotel Protocols During the COVID Pandemic We understand the importance of maintaining a safe environment and are following the guidelines set forth by our franchisor Intercontinental Hotel Group (IHG). Housekeeping guidelines are as follows – 1. Each room is hard cleaned when guest depart. Linens are stripped and laundered, hard surface sanitized using Ecolab program products – as per IHG program guidelines. 2. We have a “no guest contact” policy by our housekeeping staff – if a room is occupied for more than 1 night the guest room will only be cleaned if requested by the guest. Clean towels, etc. can be requested by contacting the front desk – who will arrange for the items to be bagged and hung on the guest room door. a. Guest can request to have the room service each day by contacting the front desk – guest will need to be out of the room when housekeeping is servicing the room. 3. Frequent hard cleaning of all surfaces in public spaces of the hotel – including elevators, handrails, table and tops, chairs, carpet and art. 4. We practice social distancing – in all public areas of the property including our Overlook Restaurant. The restaurant is open daily for breakfast, lunch and dinner – please note no buffet service is available at this time. 5. Outdoor swimming pool capacity capped at 50% 6. Masked required while inside all public areas of the hotel.
