ENTRY PROCESS
Players must enter using
TennisLink Registration. When
registering on TennisLink, players MUST indicate their preferred site or sites in priority order.
Players are asked to list all sites to which they would be willing to travel. Multiple Singles Entries Allowed. When entries close, a
player may be entered in up to two age divisions of up to four USTA National
Level 2 Tournaments.
Player Must Enter and Play Same Division in Doubles as
Singles. A player may not enter one division in singles and a different division in doubles at sites where
two divisions are held. Permission to Enter Other Concurrent Tournaments. When
tournaments are asked to give prior written approval to enter a USTA National Level 2 Tournament and a
concurrent tournament that is not a USTA National Level 2 Tournament, that discretion
continues to lie with the tournament. (In other words, you cannot enter a National Level 2 and a different USTA tournament held on concurrent dates, without written permission from both tournament directors. Violation of this rule could result in suspension points.)

MANDATORY TOURNAMENT CHECK IN:
Mandatory means just that. We are staying until 8:30 pm for your
convenience. We feel strongly that you should be able to make it by
that time. Only the player can check him/herself in, do not send someone in your place. For those of you who "just cant make it by that time" need to do the following and please do not call and ask for permission to miss check-in:
1 - Make sure your entry fee has been paid.
2 - Email (tennismobile@gmail.com) or Fax (251/208-5195) in your Medical Release Waiver WITH your CELL phone numbers & HOTEL info completed.
3 - Show up 30 minutes before your match time to check in. Please be patient
with us when checking in, we will be focused on getting matches on and
off the court. Checking in people at this time will be a detriment to
the tournament.
4 - Those of you playing 8:00 am matches at the Mobile Tennis Center
will need to be on your assigned court at 7:45. Make sure you allow
yourself plenty of time.
For most of the day on Saturday we will only have one person checking in players for the
tournament (those that did not come the night before). Obviously this
is not enough to check in everyone 30 minutes before their match times.
If you are not on your court by your assigned match time, you will be
penalized. Because you did not check-in the night before, is no excuse
for being late for your match. We cannot predict if there will be 5
people or 50 people waiting to check in when you do. You cannot play
your match until you have checked in for the tournament. If there is a
line that causes you to be late for your match, unfortunately that will
be your problem that could have been avoided. Therefore, we urge all of
you to check-in on Friday this includes Locals, Commuters and Travelers.
Thank you for your cooperation.
|
MATCH CHECK IN PROCEDURES
1 - The first matches of each day will report directly to the court at
7:45, and balls will be on the court. The court assignments will be posted on the big Court Assignment board. Matches should begin promptly at
8:00. We call this a "Shotgun Start"
2 - In most cases for all matches after 8:00 am, please get in a single-file line at
the tournament desk about 15 minutes before your scheduled match
time. You must go to the
bathroom, fill your water bottle, etc. and be ready to go on court
before you check in. When using block scheduling, we may use the shotgun start for matches after 8:00 am. Listen for announcements throughout the day regarding match check in. 3 - Once you have checked in, you must stay where instructed until
we tell you the court assignment. 4 - We will be watching the clock for lateness. Please do not ask if
your opponent has checked in - you have other things to think about.
The staff and the Referee will take care of lateness issues, you need
only worry about your own timeliness.

TOURNAMENT WITHDRAWALS
Tournament Withdrawals Before Entry Deadline. Before entries
close, a player may withdraw from a tournament. A withdrawing player’s credit card has not been
charged and therefore no further communication between the withdrawing player and the
tournament is necessary. Go to the Tournament website, under "EDIT REGISTRATION" on the right side of your screen, select "Withdraw". From there you can withdraw. If you do not know your Confirmation #, then select "Locate Confirmation" just below "Withdraw." We cannot withdraw you, you must do this yourself. You will lose your entry fee if you do not withdraw before registration closes. NOTE: The selection process is automated. If you email to withdraw after registration closes, but before selections are finalized, YOU WILL STILL LOSE YOUR ENTRY FEE. Once registration closes, you cannot be withdrawn until selections are finalized.
Tournament Withdrawals After Entry Deadline. After entries
close, players are instructed to immediately contact a tournament if they need to withdraw. Bona fide
reasons for a withdrawal are illness, injury, and personal circumstances.
Players MAY NOT withdraw from one USTA National Level 2
Tournament site in order to gain acceptance into another site unless a draw is
not full. Specific procedures are in place for a player to submit a written request
to move to another site. See “Player Requests to Change Sites When Draws Not
Full” above.
All withdrawals for reasons other than illness, injury, and
personal circumstances, and withdrawals for injury, illness or personal circumstance without the proper
written notification are defaults and Code of Conduct Reports should be completed for each defaulting
player even though an alternate may take that defaulting player’s place in the
draw.
Written Notification Requirements for Withdrawals. In order
for a withdrawal to be bona fide and, if after the draw is made or after play starts, coded as
“Withdrawal” or “Walkover” on the draw sheet, the player must fulfill the following written verification
requirements:
• Injury or Illness Written Verification Requirement: If the
player is not playing because of an injury or illness, the player shall deliver written verification of
the injury or illness from a medical professional to the Referee no later that the last scheduled day of the
tournament. If a tournament has a trainer on site, it is recommended that the trainer be asked provide the
written verification on site before the player leaves the tournament.
• Personal Circumstance Written Verification Requirement: If
the player is not playing because of a personal circumstance, the player shall
deliver a written description of the situation no later that the last scheduled
day of the tournament and the Referee shall determine whether the situation is
a personal circumstance.
Refund of Entry Fees. A Tournament Committee is only
required to refund a player’s entry fee if:
• the entry is not accepted;
• the withdrawal is for previously authorized entry into
another tournament; or
• the withdrawal is for an authorized change by the player
to another site.
In all other cases (such as withdrawals for illness, injury
or personal circumstances), a refund is not required. Immediately contact the tournament to withdraw from the tournament. You must fax or email your withdrawal. DO NOT call to withdraw. The email is tennismobile@gmail.com and the fax is (251) 208-5195. If the player is not playing because of an injury or illness, the player shall provide written verification of the injury or illness from a medical professional no later than the last scheduled day of the tournament. THERE ARE NO REFUNDS.
Defaulting during the tournament: You must see the trainer and get approval from the Head Referee at the Mobile Tennis Center. Do not tell just anyone at the desk and think you have properly defaulted. Unless you speak to the Head Referee in person, it will count as a "No Show." WE WILL NOT ACCEPT ANY WITHDRAWALS OVER THE PHONE! If the player is not playing because of an injury or illness, the player shall provide written verification of the injury or illness from a medical professional no later than the last scheduled day of the tournament OR a visit with the onsite trainer will suffice.

PLAYER REQUESTS TO CHANGE SITES WHEN DRAW NOT FULL
Procedure. A player may submit a written request to move to
another site within the same division if the draw at the requested site is not full, the request is
received by each Tournament Director no later than 10 days before the start
date of the tournament, and each Tournament Director involved understands the circumstances
and concurs in writing. This option is not available to an alternate who
accepts a position in a USTA National Level 2 Tournament.
Guidelines for Approving a Request to Move to Another Site. In order to effectively and consistently implement this new regulation, the Junior Competition
Committee has established guidelines to be used by USTA National Level 2
Tournament Directors. The guidelines are listed below.
Note: All references to Tournament Director or Tournament
Directors refers to the Tournament Directors of both the site from which the
player has requested to be changed and the site to which the player has requested
to be changed.
• Each Tournament Director shall require a player to make a
request to change sites in writing (email or fax acceptable). The request
should include the reason(s) for wanting to change sites.
• Tournament Directors shall communicate with each other
regarding the player's request to ensure that there is no misunderstanding as
to which event the player is ultimately entered. Tournament Directors are
encouraged, if possible, to come to an agreement on the site change request.
• The Tournament Directors each must provide a written
response to the player. If the Tournament Directors have agreed to the site change request, the
Tournament Director of the site to which the player is moving shall also
contact the player by telephone to confirm the player's acceptance into the new
site.
• Tournament Directors shall consider a move from a lower
choice to a higher choice (based on the player's original site selection). In
order to verify this type of a request, please contact linkteam@usta.com and cc
Lew Brewer (lbrewer@usta.com).
• Tournament Directors shall consider a move to a tournament
site that is geographically closer to the player's home.
• Tournament Directors shall consider a move that involves a
family emergency.
• Tournament Directors shall make NO exception to the
deadline for requesting a site change (10 days before the start date of the event).
Requests Discovered to be Made in Bad Faith. If it is
discovered that a player's request is made in bad faith (i.e., they lied about the nature of their request)
Tournament Directors/Referees should treat the conduct as a violation under the USTA Junior Suspension
Point System - unsportsmanlike or inappropriate conduct on or off the court.
Entry Fee Refund & Repayment. A player whose request is
approved to move to another site shall be refunded the entry fee by the original site and
shall pay the entry fee to the new site.

ALTERNATES
Alternates Published by TennisLink. Players who have not
been selected after all four USTA National Level 2 Tournament draws have been
filled shall be placed in alternate pools at all concurrent USTA National Level
2 Tournaments for which the players indicated a preference by the TennisLink
selection system, except that a player that has entered two age divisions and
has not been accepted into the older age division will only appear on the
alternate lists of the younger age division. Because there are four concurrent
USTA National Level 2 Tournaments, there will be four different Alternate Lists
per division, one for each of the concurrent USTA National Level 2 Tournaments
in a division. It is possible for players to appear on up to 4 Alternate Lists. Ordered Alternate List. Each Tournament Committee shall
create an Alternate List by ordering the alternates for their site based on the players’ standing on
the National Standings List used to select players (not a list published on a
later date).
Late Entries. Late entries may be placed on the Alternate
List, but they are placed on the alternate list in the order received after
timely entries. Late entries received at the same time are ordered by lot. EMAIL IS THE ONLY WAY TO REQUEST LATE ENTRY - NO PHONE CALLS.
Publishing the Alternate List. As soon as possible and no
later than 5 days after entries close, the Tournament Committee shall publish an ordered Alternate List
to the TennisLink Tournament Home Page. The list shall include all alternates. The order of players
on an Alternate List is NOT to be changed if new
National Standings Lists are published.
Player May Apply to be Alternate at Site Not Originally
Among Their Site Preferences. Players who are alternates at a particular USTA National Level 2
Tournament site MAY ALSO APPLY as a “Late Entry” to other USTA National Level 2
Tournament sites not originally selected as a site preference. These players
are considered late entrants at these new sites and are to be ordered as Late
Entries as instructed under Late Entries above. On-Site Alternates. On-site alternates are those players on
the alternate list who have come to the tournament site to be a last-minute replacement for a
withdrawing player. The Tournament Committee shall establish a procedure for checking in on-site
alternates and instruct players on the tournament
website. The procedure shall include the following:
• On each day in which alternates may be accepted into a
draw, any alternate desiring admittance must check in and be ready for play no later than 15 minutes
prior to the first scheduled match time of the event for which they are an alternate.
• The order of the alternates is based on the original
Alternate List published by the tournament, not a more recent National
Standings List, and not in the order in which the players check in.
On-Site Alternates may be admitted into the singles main
draw to replace withdrawing players until the completion of the first round of play. Any
player receiving a bye in the first round can also be replaced by an on-site
alternate in the second round because this player has not yet played a match in
the event. This does not apply to players receiving withdrawals or retirements
as these are considered matches won. OnSite Alternates may not play in the
Feed-In Championship unless they have first played in the singles main draw. Replacement of Withdrawing Players Before the Draw is Made. The Tournament Committee shall replace a player who withdraws with next highest remaining alternate. Replacement of Withdrawing Players After the Draw is Made. The Tournament Committee shall replace a player who withdraws, is defaulted, or is otherwise removed from the draw after the draw is made, but before the player’s first match with next highest remaining alternate, unless the Tournament Committee determines the player may remain in the draw. (See USTA Regulation III.B.6. These regulations allow for exceptions when a player has been defaulted for lateness, or has to withdraw from their first round for injury, illness or personal circumstance.) Accepting Alternates. As soon as possible after a withdrawal occurs, the first alternate is to be contacted and asked to confirm whether they are accepting a spot in the draw. A player must never be moved from the Alternate List in TDM into the Player List in TDM until a player has accepted because doing so will automatically remove that player from another USTA National Level 2 alternate list.

REPORTING SCORES - PARENTS, COACHES AND PLAYERS READ THIS!!!!
We understand that reporting accurate scores is critical to the rating process. We go to great lengths to ensure the score is recorded accurately. However, our accuracy is dependent on the score reported by the Winner. Per Friend At Court, it is the Winner's responsibility to report the score. This means the tournament desk will only accept reporting from the Winner. Because of the rating systems, we feel the need to implement new procedures for reporting. If you are the loser of a match and you are concerned the score may not be reported correctly; you should accompany the winner to the desk to report the score. We are not stating players are purposely reporting scores incorrectly. So often, players can barely remember the court they were on much less the score of a three set match. So here is how we will handle score reporting officially: 1. Winners will report the score to the tournament desk immediately after the match. (Players will not be delayed by coaches or parents, or any other reason.) ----Officials call in the time a match has completed, and a winner will have 5-10 minutes from that time to report to the desk and give the score. Failure to report timely, could result in Suspension Points for not following the instructions of the official. ----If the match completion time is not called in by the on-court official and the loser of the match has reported to the desk to confirm the score but the winner is not there yet, the winner will have 5 minutes to report to the desk. Failure to report timely, could result in Suspension Points for not following the instructions of the official. 2. The Loser of the match can confirm the score at the time the winner reports. ----If there is a dispute, the players can take that moment to talk it out while it is fresh in their minds and agree on a score for the winner to report to the desk. The desk will make note on the card that both players agree with the score. ----If an agreement cannot be reached, the Referee will help the players come to an agreement. 3. The Loser may report a score if he/she gets to the desk first. However, if the loser does not stay to confirm the score with the winner, the score given by the winner will be the official score. 4. Once a score has been entered in TennisLink, the loser can email the tournament and question the accuracy. We will look at the card and go by the score reported on the card. In cases of chaired matches, we will go by the Officials Scorecard. 5. No scores will be changed after entered in TennisLink unless the winner reports a change and that change is favorable to the loser. (If losers have made the effort to confirm the score with the winner immediately after the match, the winner cannot change that score in the winners favor at a later date.) 6. We will not "track down games" for the loser days or even hours after a match. Too much time has lapsed to try to get the winner to remember the score the way the loser wants it remembered.
Parents, Coaches, and Players please respect this process. With the rating system, every game is important. We want to report the scores accurately. For the last couple of years, reporting of scores is becoming a contentious area resulting in numerous emails, phone calls, frustration, cheating accusations and unsportsmanlike conduct. We are attempting to eliminate some of this and make the score reporting just a normal procedure of the game such as determining who will serve. Winner's do not be offended if your opponent wants to confirm the score with you. As stated every game is important and your opponent just wants to get credit for their work. As this rating system increases in popularity, the rules for reporting will probably change so we are just getting into good habits sooner rather than later. Thank you for your cooperation.

TRAINER:
One trainer will be on site at the Mobile Tennis Center during matches. By law, trainers are not allowed to distribute any medicine. Please bring your own Tylenol, Advil, Sinus Medicine, Epi Pens, etc. If you have an injury or illness, we strongly suggest you see the trainer. If you need to withdraw due to injury or illness, the process will be much smoother if we have confirmation from the trainer. Without confirmation, or a written doctors excuse by the end of the tournament, you may incur suspension points for leaving. Remember if you withdraw during the tournament, you must see the Head Referee in person or it will count as a "No Show"
Please note: The trainer has a lot of ground to cover with on-court issues and many people to see off the court. They are not there to give massages due to limited time and lack of privacy; but, they will advise you on various techniques you or your parents can do. Also, there is a science to applying Kinesiology Tape due to a specific diagnosis. Without the diagnosis from a doctor, the trainers will not apply this type tape. If you require this type tape due to a pre-existing injury, please learn how to tape before the tournament.
