USTA Closed and Open Regional Tournaments:
ENTERING CONCURRENT TOURNAMENTS Several times each year, the USTA has sanctioned national tournaments with different National Ranking Levels at the same time and players are permitted to enter both tournaments. If you want to play in one of these tournaments, but are unsure if you will get in, you may enter up to two different tournaments (in addition to up to two divisions that is described above). February: USTA National Selection Tournaments (Level 2) and Closed USTA Regional Tournaments (Level 4)
Entries are permitted in up to two divisions of up to four sites of USTA National Selection Tournaments AND up to two divisions of the Closed USTA Regional Tournament to which your Section has been assigned.
When selection is done, players are selected for the highest level of tournament first (for example when a National Selection and Regional are held at the same time, the selection is first done for the National Selection tournament).
* If you are selected into the higher level concurrent tournament, you will not be selected into the lower level concurrent tournament.
* If you are not selected into the higher level concurrent tournament, you are eligible for selection into the lower level concurrent tournament AND are eligible to be on the alternate lists of both the higher and lower level tournaments.Because the process permits players to appear on an acceptance list and multiple alternate lists at the same time, players will have a limited amount of time - until the Freeze Deadline to decide on what list they want to remain.
• The February and October “Closed” Regional segments will be regionalized: there will be 4 concurrent events, but players may only enter and play in a Closed Regional to which their Section has been assigned and selection will be based on quota and endorsement. Region 1: Hawaii Pacific, Intermountain, NorCal, Pacific NW, Southwest, SoCal Region 2: Midwest, Missouri Valley, Northern, Texas Region 3: Eastern, Mid-Atlantic, Middle States, New England Region 4: Caribbean, Florida, Southern (This tournament is for Region 4 players only)

FREEZE DEADLINE
What is the Freeze Deadline? The Freeze Deadline is the deadline by which a player that is on the alternate list of the higher level tournament and the accepted player list of the lower level tournament has to commit to being on one list. The Freeze Date for all concurrent national tournaments shall be 11:59 a.m. ET 16 days before the start date of the concurrent tournament scheduled to start first, or such other time as is published on the tournament website. For example, if the earlier of two concurrent national tournaments is scheduled to begin on the 17th of the month, the Freeze Deadline shall be 11:59 am ET on the 1st of the month.
Prior to Freeze Deadline Prior to the Freeze Deadline, a player may appear as both an alternate for the higher level concurrent tournament and as an accepted player at a lower level concurrent tournament. Prior to the Freeze Deadline, any such player that is offered and accepts a place on the acceptance list of the higher level tournament shall be permitted to withdraw from the lower level tournament without penalty and play in the higher level tournament.
After the Freeze Deadline After the Freeze Deadline, a player may ONLY appear as EITHER an alternate for the higher level tournament OR as an accepted player at the lower level tournament. A player not yet selected for any tournament may continue to appear on the alternate lists of multiple concurrent tournaments.
Player Obligation by the Freeze Deadline A player that appears on the acceptance list of the lower level tournament and a higher level tournament alternate list that desires to remain on the alternate list for the higher level tournament must withdraw from the lower level tournament by the Freeze Deadline. Such a player shall be required to send an email to the Tournament Directors of both tournaments by the Freeze Deadline stating this preference and the player shall be refunded their entry fee by the lower level tournament. Any player that fails to email their preference to withdraw from a lower level tournament and remain as an alternate for the higher level tournament shall not be permitted after the Freeze Deadline to withdraw from the lower level tournament and accept a spot in the higher level tournament draw. Any violation of this policy will result in the levying of 4 suspension points for withdrawing from a tournament to play in another.

Regulation III.M.9. Comment: The Junior Competition Committee has adopted the following procedure for
ordering alternates at Closed USTA Regional Tournaments and policy on replacing withdrawing players:
Alternates: The Tournament Committee shall prepare an alternate list of endorsed players not accepted into the
singles main draw. The National Standings List used to accept players into the singles main draw pursuant to

accepted from the National Standings List and player accepted from the alternate list with the highest remaining
alternate.
Replacement of player after draw made but before start of player’s first match: The Tournament Committee shall
replace a player who withdraws, is defaulted, or is otherwise removed from the draw after the draw has been
made but before the start of the player’s first match with the highest listed remaining alternate, unless the
Tournament Committee determines the player may remain in the draw (see USTA Regulations II.B.5.d. and
IV.E.6).

MANDATORY TOURNAMENT CHECK IN:
Mandatory means just that. We are staying until 9:00 pm for your
convenience. We feel strongly that you should be able to make it by
that time.
For those of you that "just cant make it by that time" need to do the following and please do not call:
1- Make sure your entry fee has been paid - check the Tournament Entry Fee Report when posted.
2 - Email or Fax in your Medical Release Waiver WITH your CELL phone numbers & HOTEL info completed to 251/208-5195.
3 - Show up 30 minutes before your match time. Please be patient
with us when checking in, we will be focused on getting matches on and
off the court. Checking in people at this time will be a detriment to
the tournament.
4 - Those of you playing 8:00 am matches at the Mobile Tennis Center
will need to be on your assigned court at 7:45. Make sure you allow
yourself plenty of time.
On Saturday we will only have one person checking in players for the
tournament (those that did not come the night before). Obviously this
is not enough to check in everyone 30 minutes before their match times.
If you are not on your court by your assigned match time, you will be
penalized. Because you did not check-in the night before, is no excuse
for being late for your match. We cannot predict if there will be 5
people or 50 people waiting to check in when you do. You cannot play
your match until you have checked in for the tournament. If there is a
line that causes you to be late for your match, unfortunately that will
be your problem that could have been avoided. Therefore, we urge all of
you to check-in on Friday, this includes Locals, Commuters and Travelers.
Thank you for your cooperation.
|
MATCH CHECK IN PROCEDURES
1 - The first matches of each day will report directly to the court at 7:45, and balls will be on the court. The court assignments will be posted on the big tournament board. Matches should begin promptly at 8:00. We call this a "Shotgun Start" 2 - In most cases for all matches after 8:00 am, please get in a single-file line at the tournament desk at least 15 minutes before your scheduled match time. Do not wait until 9:59 to check in for 10:00. You must go to the bathroom, fill your water bottle, etc. and be ready to go on court before you check in. When using block scheduling, we may use the shotgun start for matches after 8:00 am. Listen for announcements throughout the day regarding match check in. 3 - Once you have checked in for your match, you must stay where instructed until we tell you the court assignment. 4 - We will be watching the clock for lateness. Please do not ask if your opponent has checked in - you have other things to think about. The staff and the Referee will take care of lateness issues, you need only worry about your own timeliness.

WITHDRAWALS:
Withdrawal Prior to Entry Deadline:
Go to the Tournament website and click "EDIT REGISTRATION" on the right
side of your screen then "Withdraw". From there you can withdraw. If you
do not know your Confirmation #, then click "Locate Confirmation" just
below "Withdraw." We cannot withdraw you, you must do this yourself.
You will lose the processing fee if you do not withdraw online before
registration closes.
Withdrawal After Entry Deadline:
Immediately contact the tournament to withdraw from the tournament. You
must fax or email your withdrawal. DO NOT call to withdraw. The email
is tennismobile@gmail.com and the fax is (251) 208-5195. If the player is not playing because of an injury or illness, the player shall provide written verification of the injury or illness from a medical professional no later than the last scheduled day of the tournament. There are No
refunds for withdrawing after registration closes due to injury, illness, or personal emergency. Refunds will only be given in the event a player has chosen to play the National Selection Tournament by the Freeze Deadline 1/28/16.
Defaulting during the tournament:
You must see the trainer and get approval from the Head Referee at the
Mobile Tennis Center. Do not tell just anyone at the desk and think you have
properly defaulted. Unless you speak to the Head Referee in person, it
will count as a "No Show." WE WILL NOT ACCEPT ANY WITHDRAWALS OVER THE
PHONE!
If the player is not playing because of an injury or illness, the
player shall provide written verification of the injury or illness from
a medical professional no later than the last scheduled day of the
tournament OR a visit with the onsite trainer will suffice.
|
REFUNDS AFTER REGISTRATION CLOSES:
If you withdraw before registration closes, your credit card will not be charged. If you withdraw after registration closes, you may receive a refund only if you are electing to either play the National Selection Tournament or stay on the alternates list of the National Selection tournament. That decision has to be made by the Freeze Deadline which is 1/28/16 11:59 am eastern time. After the Freeze Deadline, there will be no refunds for withdrawals. You will receive suspension points if you do not have a documented medical excuse or a written explanation of a personal emergency. Our best advice to you, is make sure you assess your means of travel and schedules before registration closes. Thank you for your cooperation.

LATE ENTRIES
If you missed registration and want to be a late entry, email me your USTA number and age division. If we have openings, we will accept late entries in the order emails are received. If there are no openings and few alternates, we will add late entries to the alternates list in the order received behind all other alternates. A late entry alternate who would affect seedings will only be offered a spot if a seed withdraws.
Please note, Late Entries cannot be added as Alternates until selections have been finalized, the tournament director is allowed access the tournament data, and the alternates list has been published. While you may request late entry status one minute after registration closes, there is no place to add you until the above steps have been finalized. This may be a week or more after registration closes. If you have received a response to your email request, you are being accounted for offline - there is just no way to add you online yet.

WILDCARDS
There are no wildcards for this Regional Closed.
|
DOUBLES
If you registered for doubles and do not see your name, simply email me to put you in doubles. There is no need to panic, as I do allow quite a lengthy grace period to register for doubles, find a doubles partner, or make partner changes as shown on the timeline - 2/09/16. If you see someone registered for doubles without a partner, you may email me to request someone's contact info. If you do not want to be contacted then withdraw from doubles or notify me of your partner's name.
On Feb. 5th, alternates will be allowed into doubles. If you are a Singles Competitor and wish to play doubles, locate your name on the Doubles Competitor list. If you do not see your name there, then email me stating you wish to play doubles. Once alternates are let in, there may not be an open spot for you - so take care of this NOW!
The sooner you provide us with accurate doubles information, the sooner we can prepare and post the Doubles Draw. Thank you for your cooperation.
If you enter doubles, you may NOT enter a different age division than your singles.
TO FIND A DOUBLES PARTNER USE YOUR OWN FACEBOOK CONNECTIONS, CONTACT USTA OFFICES, MEET PEOPLE AT OTHER TOURNAMENTS. TOURNAMENT DIRECTORS DO NOT HAVE ACCESS TO PLAYERS CONTACT INFORMATION UNTIL REGISTRATION CLOSES.
|
CONTACT INFORMATION:
Due to Alternate notification, Doubles, Time Changes, and Draw Changes, it is imperative for you to add contact information (email and cell phone) during the online registration process when asked. So a player does not lose out, please help us and yourselves by offering this contact information.
