Congratulations on your acceptance and welcome to the 2016 Closed
February Regional Tucson at
El Conquistador Tennis. Please find attached form and read
below important information.
MANDATORY PLAYER
REGISTRATION: Saturday morning, February 13th, at the site you are
scheduled to play your 1st round of doubles. TIME TBD (see the
tournament web site for draw and site information closer to the event.)
ALL players MUST register at
their respective site with a contact number, hotel information, AND REQUIRED
Medical Release & Waiver form. Player and parent signatures
required (unless 18 years of age)!!
Players will
NOT be allowed to play without the signed form.

All players wishing to play doubles MUST enter doubles by 11:59 AM EST,
Wednesday, February 10th.
If you have not already confirmed your doubles entry and/or partner
please email by the deadline. If you do not have a partner let us know and we
will do our best to pair you up. Players that have NOT entered doubles by
February 10th at 11:59 AM EST will not be in the
draw. Players that have entered doubles without partners will be randomly
paired. If there is an odd number 1 player will be randomly chosen as the 1st
alternate.

If a third
set is needed, there will be a ten minute break allowed at the end of the
second set. Coaching is allowed during this break.
Feed-In Championship (FIC) &
QF Draw matches: Best of 3 Sets with a 10-point Match Tiebreak in lieu of a 3rd
Set.
If players
split sets, there will be a three minute break allowed at the end of the second
set. Coaching is allowed during this break. PLAYERS MUST REMAIN ON COURT DURING
THE 3 MINUTE REST PERIOD. COACHES MAY COME ON COURT.
Doubles Matches: 8 Game Pro
Set with a 7-Point Tiebreak at 8 games all.
The FIC is considered
part of the tournament and participation is mandatory for all singles main draw
players as well as 3rd/4th place play-offs for singles
and doubles.
Quarterfinal playoffs
for players that lose in the main draw quarterfinals will be held to determine
5th and 6th place.
Sportsmanship Award
One boy and one girl
from each age division will be presented the Sportsmanship Award. Players,
parents, coaches and tournament committee may each vote for their nominee.
Winners will receive an award and their photo will be sent to USTA National.
Contact Tournament desk to cast your vote beginning Saturday after the doubles.

Selection Process and order of alternates
USTA National will let us know when we can work with the event. REMEMBER Alternates are chosen by Section Quota first. In other words, if a main draw player from SW withdraws, the first alternate will be the USTA SW Section player next on the Section endorsement list. Please see the selection process to help figure out where you stand. We will update this site as we receive information!

National Selection Tournaments - Closed Regional Tournaments
Freeze Deadline Information
FREEZE DEADLINE IS THURSDAY, January 28, 2016
What is the Freeze Deadline?
The Freeze Deadline is the deadline by which a player that is on the alternate list of the higher level tournament and the accepted player list of the lower level tournament has to commit to being on one list. The Freeze Date for all concurrent national tournaments shall be 11:59 a.m. ET 16 days before the start date of the concurrent tournament scheduled to start first, or such other time as is published on the tournament website. For example, if the earlier of two concurrent national tournaments is scheduled to begin on the 17th of the month, the Freeze Deadline shall be 11:59 am ET on the 1st of the month.
Prior to Freeze Deadline
Prior to the Freeze Deadline, a player may appear as both an alternate for the higher level concurrent tournament and as an accepted player at a lower level concurrent tournament. Prior to the Freeze Deadline, any such player that is offered and accepts a place on the acceptance list of the higher level tournament shall be permitted to withdraw from the lower level tournament without penalty and play in the higher level tournament.
After the Freeze Deadline
After the Freeze Deadline, a player may ONLY appear as EITHER an alternate for the higher level tournament OR as an accepted player at the lower level tournament. A player not yet selected for any tournament may continue to appear on the alternate lists of multiple concurrent tournaments.
Player Obligation by the Freeze Deadline
A player that appears on the acceptance list of the lower level tournament and a higher level tournament alternate list that desires to remain on the alternate list for the higher level tournament must withdraw from the lower level tournament by the Freeze Deadline. Such a player shall be required to send an email to the Tournament Directors of both tournaments by the Freeze Deadline stating this preference and the player shall be refunded their entry fee by the lower level tournament.
Any player that fails to email their preference to withdraw from a lower level tournament and remain as an alternate for the higher level tournament shall not be permitted after the Freeze Deadline to withdraw from the lower level tournament and accept a spot in the higher level tournament draw. Any violation of this policy will result in the levying of 4 suspension points for withdrawing from a tournament to play in another.

Entering Two Divisions, Entering Concurrent Tournaments, and the Freeze Deadline
The USTA Regulations prohibit a player from being entered, when entries close, in two or more tournaments if any part of the tournaments overlap, unless each Tournament Committee understands the situation and concurs in writing. There are exceptions to this rule on the national junior level.
The USTA National Championships, USTA National Sweet Sixteen, USTA National Selection Tournaments, Closed USTA Regional Tournaments, and Open USTA Regional Tournaments permit a player to enter more than one age division. However, it is important to understand the consequences of this decision.
If you want to play in one of these tournaments, but are unsure if you will get in, you may enter up to two different age divisions. When selection is done, players are selected for the oldest age division first.
* If you are selected into the older age division entered, you will not be selected into the younger age division.
* If you are not selected into the older age division, you will only be considered for selection into the younger division and you will only be eligible to be an alternate in the younger division.
ENTERING CONCURRENT TOURNAMENTS
Several times each year, the USTA has sanctioned national tournaments with different National Ranking Levels at the same time and players are permitted to enter both tournaments. If you want to play in one of these tournaments, but are unsure if you will get in, you may enter up to two different tournaments (in addition to up to two divisions that is described above). These tournaments and the maximum number of entries are as follows: February: USTA National Selection Tournaments (Level 2) and Closed USTA Regional Tournaments (Level 4) Entries are permitted in up to two divisions of up to four sites of USTA National Selection Tournaments AND up to two divisions of the Closed USTA Regional Tournament to which your Section has been assigned. May: USTA National Sweet Sixteen (Level 1A) and USTA National Selection Tournaments (Level 3) Entries are permitted in up to two divisions of the USTA National Sweet Sixteen AND up to two divisions of up to four sites of USTA National Selection Tournaments. October: USTA National Selection Tournaments (Level 2) and Closed USTA Regional Tournaments (Level 4) Entries are permitted in up to two divisions of up to four sites of USTA National Selection Tournaments AND up to two divisions of the Closed USTA Regional Tournament to which your Section has been assigned. November: USTA National Selection Tournaments (Level 2) and Open USTA Regional Tournaments (Level 4) Entries are permitted in up to two divisions of up to four sites of USTA National Selection Tournaments AND up to two divisions of up to four sites of Open USTA Regional Tournaments. When selection is done, players are selected for the highest level of tournament first (for example when a National Selection and Regional are held at the same time, the selection is first done for the National Selection tournament).
* If you are selected into the higher level concurrent tournament, you will not be selected into the lower level concurrent tournament.
* If you are not selected into the higher level concurrent tournament, you are eligible for selection into the lower level concurrent tournament AND are eligible to be on the alternate lists of both the higher and lower level tournaments. Because the process permits players to appear on an acceptance list and multiple alternate lists at the same time, players will have a limited amount of time - until the Freeze Deadline to decide on what list they want to remain.

Selection Process for USTA Closed Regional Tournaments
SELECTION PROCEDURE:Entry Restricted to Region. A player is only eligible for the Closed USTA Regional Tournament in the region to which the players Sectional Association is assigned.
Regions for Closed USTA Regional Tournaments Region 1- Hawaii Pacific, Intermountain, Northern California, Pacific Northwest, Southern California, Southwest Region 2- Midwest, Missouri Valley, Northern, Texas Region 3- Eastern, Mid-Atlantic, Middle States, New England Region 4- Caribbean, Florida, Southern Selection Process. The TennisLink selection program shall selected players into a Closed USTA Regional Tournament in the following order:
* Players within Sectional Associations’ Quotas. Junior players not previously selected who are on the Sectional endorsement lists, within the established Sectional quota, and who have submitted timely entries shall be accepted in the order determined by the Sectional Endorser.
* Endorsed Players on National Standings List. The Selection Process shall fill remaining spots in the draw, with endorsed players who have submitted timely entries and appear on the most recently published National Standings List. Selection in Descending Closed USTA Regional Tournament Division Order. The TennisLink system will select players for these divisions in the following order: 18s, 16s, 14s, and 12s. If a player is entered in two age divisions and is selected into the older division, that player shall not be eligible for selection into the younger division. If a player is not selected for the older division, that player is eligible for selection in the younger division and is eligible to be an alternate in the younger division, but not the older division. . Selection of Players Entered in Concurrent USTA National Selection Tournament. Selection shall first be done by the TennisLink system for the concurrent USTA National Selection Tournament. If a player is selected into the USTA National Selection Tournament, that player shall not be eligible for selection into a Closed USTA Regional Tournament. If a player is not selected for the USTA National Selection Tournament, that player is eligible for selection in a Closed USTA Regional Tournament and shall also be placed on the alternate list of the youngest division of the USTA National Selection Tournament sites the player entered. If the player is not selected for the USTA National Selection Tournament or any Closed USTA Regional Tournament, that player shall be placed on alternate lists for the youngest division of the USTA National Selection Tournament and the youngest division of the Closed USTA Regional Tournament the player entered Alternates. The Tournament Committee shall prepare a list of those players with timely entries not accepted into the draw who appear on the Sectional Endorsement Lists. No other players are eligible to be alternates Players that have entered a concurrent Open USTA Regional Tournament or USTA National Selection may also appear in applicant pools for both of these tournament types. Ordered Alternate List. Alternates shall be ordered using the National Standings List used to accept players into the draw to fill remaining vacancies. Timely entrants who do not appear on the National Standing List shall be ordered by lot and placed at the bottom of the list. Although the USTA Junior Competition Department may publish more recent lists to aid tournaments in seeding, the original National Standings Lists used for selection will be used to order Alternates. In fairness to Alternates who are weighing the probability of getting into the tournament, once the order of an Alternate List has been established it may not be changed. Late Entries. Late entrants who appear on a Sectional Endorsement List shall be listed below timely entrants in the order received. Late entries received at the same time shall be ordered by lot. Late entrants are not ordered by position on the National Standings List

Entry Fee Refund Policy
It is a player’s responsibility to immediately take action to withdraw from the tournament should circumstances arise which would not enable a player to compete. Good sportsmanship and the USTA Regulations dictate that a player should never: • enter a tournament they do not intend to finish • withdraw from a tournament after entries close unless it is for injury, illness, or personal circumstance • enter two or more concurrent tournaments without prior written approval from each Tournament Committee
WITHDRAWING FROM A TOURNAMENT:
• Prior to Entry Deadline: If entries have not yet closed, a player may withdraw by going to the tournament’s USTA TennisLink Home Page - the same web page that the player registered for the tournament. Once in the system, click on the "Register Now" text in red. When taken to the next page, click on "Withdraw" on the left hand side of the screen. You will need your confirmation number from your original registration to withdraw. Because your credit card will not be charged prior to the entry deadline, no refund needs to be made. If you cannot locate your confirmation number, contact linkteam@usta.com.
• Previously Authorized Entries into Concurrent Tournaments: If a player has previously received written approval to enter concurrent tournaments from each Tournament Committee, the player must immediately notify the Tournament Director and/or Referee to let them know which tournament the player has chosen to play.
• After Entry Deadline: Immediately contact the tournament if to withdraw from the tournament - telephone numbers and email addresses of the Tournament Director and/or Referee will be posted on the tournament’s USTA TennisLink Home Page. Players must also fulfill the written verification requirements described below if the withdrawal is for injury, illness, or personal circumstance and the player wants to avoid being levied USTA Suspension Points.ENTRY FEE REFUND:
• Player is Not Accepted Into Tournament: If a player has previously paid an entry fee and is not accepted into the tournament, the player is entitled to a refund. Generally, in USTA National Junior Tournaments, no player is charged an entry fee until tournament selection is done and the acceptance list is published to the tournament website. The TennisLink processing fee paid in addition to the entry fee is not refundable.
• Previously Authorized Entries into Concurrent Tournaments: If a player has previously received written authority to enter concurrent tournaments from each Tournament Committee, the player is entitled to a refund from the tournament(s) that will not be played. The TennisLink processing fee paid in addition to the entry fee is not refundable.
• Other Withdrawal After the Entry Deadline: Players who withdraw after the entry deadline for any reason other than a previously autorized entry into concurrent tournaments are not entitled to a refund.
USTA SUSPENSION POINTS: Any withdrawal (other than for previously authorized entry into concurrent tournaments) that does not meet the written verification requirements described below by the last scheduled day of the tournament (and, in the case of personal circumstances, has also been approved as a personal circumstance by the Referee) will result in the player being levied suspension points and any match that is not played will be coded as a Default.
WRITTEN VERIFICATION REQUIREMENT FOR WITHDRAWALS DUE TO INJURY, ILLNESS OR PERSONAL CIRCUMSTANCE:
• Illness or Injury: The required written verification of an injury or illness must be from a medical professional and must be received by the tournament no later than the last scheduled day of the tournament.
• Personal Circumstance: If the player is withdrawing because of a personal circumstance, the player must deliver a written description of the situation no later than the last scheduled day of the tournament and the Referee will determine whether the situation is a personal circumstance.
