(New COVID-19 Procedures) Virtual Tournament Desk Registration **MANDATORY** For ALL Players
In response to the COVID-19, we will be using Match Tennis App’s Virtual Tournament Desk technology to help facilitate CDC best practices.
In order to compete in this event, all competitors MUST click the below link to fill out the check-in form, and sign the waiver for this tournament.
VIRTUAL TOURNAMENT DESK ***MANDATORY FOR ALL PLAYERS***
For the safety of all Tournament players, parents, coaches and staff we will NOT be using a physical tournament desk where social gathering is most common. We instead will be using Match Tennis App’s Virtual Tournament Desk to help facilitate CDC guidelines for social distancing. Please click the “more info” link to learn how we will be using VTD to keep you SAFE during the tournament:
FOLLOW THESE GUIDELINES TO ENSURE YOU'LL RECEIVE COURT ASSIGNMENTS VIA TEXT
When setting up your Match Tennis App account, all family members should sign in with the same username and password.
Make sure you add three DIFFERENT contact numbers during the Pre Tournament Virtual Check-In THAT WILL BE ON during the tournament. They all should be cell numbers since messages will be in the form of texts.
When you are called to court, all your contact phones will receive the message.
* If you need to add or change contact numbers go to “My Account” in Match Tennis App and click “Completed Waivers” to add or change contact numbers.
EVERYONE MUST WEAR A MASK!
USTA Southern has a new requirement for all Southern Level 1, 1A, and 2’s. All tournaments must require players (when not on court) coaches, parents, tournament staff and officials, to wear face masks at all time when inside or outside of the tennis facility. This is not a guideline- it is a requirement. Per USTA Southern, if they do not comply they will be asked to leave or be defaulted from tournament.

COMMUNICATION - PLEASE READ ENTIRE WEBSITE
--All information will be posted on this Tournament Homepage.
--Please email if you need to contact us, email@example.com. Please include the name of the tournament and age division in your correspondence because we have 4 tournaments in a row.
--We will be using the Match Tennis App for Tournament Check-In, Match Check-In, Court Assignment, and Score Reporting. The link for the Virtual Tournament Desk (VTD) and Tutorial is posted.
--After selections have been made, you must complete the Tournament Check In though the Match Tennis App by Wednesday 9/23. This must be completed for Badges to be printed. If you do not complete this by 9/23, you run the risk of not having a badge for your plus one to enter the gates. Through this app you must complete the following to be fully checked-in:
**Player phone number – this number is used to text the court assignment which will allow you to enter the gates along with your badge. This number will also be used to text other important tournament information.
**Chaperone Name and Number – we assume this is the “plus one.” If it is not, you need to email firstname.lastname@example.org by 9/23 to tell us who the “plus one” is. This number will also be used to text the court assignment and other tournament information.
**Hotel – this information is very important to our organization. While the app will allow you to check in without this, we will not print your badge unless we have it. We just need the exact hotel name, we do not need # of nights or room number. There are several of the same hotel name at different locations such as Holiday Inn Express USA/Old Shell or Holiday Inn Express I65 Service Road. This is a requirement from our City and County and we must have it.
PLAYER PLUS ONE
To help with distancing, only the player plus one person will be allowed inside the gates.
--You must communicate your Plus One Name by 9:00 pm Wednesday, September 23rd. Delays in your response may result in the plus one badge not being printed.
--Upon being called to the court for your first match through the Match Tennis App text, players will pick up a bag with their badges as they walk by the desk at their "Site"
--The player and the plus one will be given a badge and will not be allowed in the facility without that badge. Players will not be allowed on the court without the badge.
--Badges must be worn at all times when on site, except when player is actually playing. Players must wear upon entering and exiting the site.
--Badges may not be shared. We must know the exact "plus one" in case we have to make Covid notifications per the Health Department.
--One means one. One does not mean one plus the exception for siblings, both parents, grandparents, friends, the family pet, etc. The point of the "plus one" is to limit those in attendance, limit possible exposure, and limit cross-contamination. This is for the safety for all involved.
While we realize you may not understand all the reasons for policies and procedures, just trust that we are doing everything we are required and obligated to do for the safety of your kid. We honestly would love for you to bring your entire extended family, coaches, trainers, etc. to the City of Mobile as it is a huge economic impact; however, this is not the goal right now. The Goal is to provide a tournament for your kid to earn ranking points SAFELY!
PLAYER RESPONSIBILITIES - READ THIS
· Players must bring their own water, sports drinks, ice, and towels. There will be no water on the courts and you will not have access to the ice machines. We will have a concession stand selling Water, Powerade, Bagged Ice and snacks. For now Cash is preferable as it will be quicker than credit cards. CONCESSION STAND WILL BE IN THE MAIN BUILDING, ACCESS THROUGH FRONT DOOR ONLY.
· Players must bring A BROWN SHARPIE AND A BLACK SHARPIE. At the beginning of the match, the official on court will open two cans of balls, one for each player. Each player will mark their name on their tennis balls with the agreed color. Players will only pick up their own tennis balls.
· Players must remove all of their belongings from the courts when the match is complete and be sure to place any garbage in the cans. We will not keep our normal lost and found of shirts, wristbands, water jugs, etc. Any items left on the court will be thrown away.
· Items that players and their plus one may want to bring for safety and distancing: your own seating, umbrellas for shade, disinfecting wipes and spray, hand sanitizer, and mask. USTA Southern now requires mask at all times, inside and out.
· Upon entering the gates for the first match of the tournament, Players will be given a bag containing their badge and the “plus one” badge. Badges must be worn before entering and worn at all times unless playing a match. Players, do not go to the court with your Plus One badge, we will not let your plus one in without a badge.
· All players check in 30 minutes before your match through the Match Tennis App. Note: For the first rounds of the day or other rounds pre-assigned as if we were doing our normal shotgun start, you do not have to check in because it will tell you the match is in progress.
· Make sure you have your badge visible around your neck at all times. You will not be able to enter the court without it.
· When you receive your court assignment text, click the blue link to confirm as you walk to your court. It will show a scorecard for you to enter the score immediately after your match.
· Depending on which bench you choose, you will then be designated as home or visitor for the scorekeeping device.
----If you are home, you will use the brown marker & the colored clothes pin.
----If you are visitor, you will use the black marker & the wooden clothes pin.
Please note, USTA Southern says tournaments cannot use scoring devices. We are fortunate that we can use our particular type of device with the use of clothespins and then you are not touching anything but your own stuff. You will be given in your bag 4 clothes pins, two colored and two wooden. You will use one clothespin to keep track of the games and one to designate the winner of the first or second sets. DO NOT FORGET YOUR CLOTHESPINS ON THE COURT. We do not have extras. You will need to bring paper and pin as a back up to keep score if you leave your clothespins on the court in a previous match.
· At the end of your match BEFORE YOU LEAVE THE COURT you must Raise your racquet and wait for the official to come to you. You will then report the score to the official.
· Both players MUST also enter the score on the Match Tennis App BEFORE leaving the court. Some like to wait until much later when they remember; unfortunately this will mess up the future court assignments and delay the process leaving you waiting outside the gate.
· If you have to go to the bathroom during your match, make sure to wear your mask/face covering while inside the building. If you are on courts 20-34, the only way to the restroom is back out the gate you came in, through the front door of the building.
· PLAYERS ARE REQUIRED TO LEAVE THE PREMISES AFTER THEIR MATCH AND NOT GO WATCH OTHER PLAYERS.
· PLUS ONE'S SHOULD ONLY BE WATCHING THEIR PLAYER. IF THERE ARE TWO PLAYERS ON THE COURT, THERE SHOULD ONLY BE TWO PLUS ONES WATCHING.
· THE GOAL OF THIS TOURNAMENT IS TO PROVIDE A FACILITY FOR MATCHES TO BE PLAYED SAFELY SO KIDS CAN EARN RANKING POINTS, BUT WE ALL HAVE TO DO OUR PART TO NOT BE THE REASON TENNIS IS SHUT DOWN.
As long as this continues to work without any issues, we will have Coach Badges so parents do not have to choose between watching their kid or letting the coach watch. We will print a Coach’s badge for you so you can watch multiple kids. But you must follow the rules. I believe DII and DIII coaches are allowed to be onsite and you may ask for a badge as well and are subject to the following rules.
--You must communicate by 9:00 pm Wednesday, September 23rd, with your Name, USPTA or USPTR #, and the names of the kids you will be coaching. Delays in your response may result in the badge not being printed.
--College Coaches only need to provide their name and college, not players names. Delays in your response may result in the badge not being printed.
--You may not communicate with players in the site as players are to be on court or outside of the gates. (Exclusion for normal break before third set)
--You must wear a mask at all times.
--You will pick up your badge at a location to be determined.
--You may not share your badge.
--Badge must be worn at all times.
--If you are a coach bringing multiple kids, they must stay outside the gates if not playing a match. Coach, you are our first line of defense in keeping the players and staff safe! If you are part of the problem you will told to leave the site.
--We all know people love to find ways around rules. So no, if you are dad and you are the coach and you are only there to watch your kid, you may not get a coach badge and a plus one badge for mom or sibling. As already stated, this is to allow coaches with multiple students to do their job and not prevent a chaperone from watching.
Please make sure your fee has been paid. There will be several Credit Card Failures who will have to pay the entry fee. We do not accept checks. CALL IN YOUR CREDIT CARD NUMBER starting Tuesday .
Call the Tournament Phone at 251-510-0113 only, This mobile phone is only used by the tournament director and only she has access to it. On the voicemail, you can leave your credit card number, expiration date, CVV code on the back of card, and the zip code of the billing address. I will text you once the card has been processed and then delete the voicemail. We do not keep any card information.
Thursday I will post the First Match Times Report. On that report, will be a column stating the amount owed. $0 means you do not owe, $80 means you owe the fee plus processing.
Withdrawal Prior to Entry Deadline:
Go to the Tournament website, under "EDIT REGISTRATION" on the right side of your screen, select "Withdraw". From there you can withdraw. If you do not know your Confirmation #, then select "Locate Confirmation" just below "Withdraw." We cannot withdraw you, you must do this yourself. You will lose the entry fee if you do not withdraw online before registration closes.
Withdrawal After Entry Deadline:
Immediately contact the tournament to withdraw from the tournament. You must fax or email your withdrawal. DO NOT call to withdraw. The email is email@example.com and the fax is (251) 208-5195. If the player is not playing because of an injury or illness, the player shall provide written verification of the injury or illness from a medical professional no later than the last scheduled day of the tournament. There are No refunds for withdrawals after Registration closes. This also means if you withdraw after registration closes but before the selections are finalized, you will still be charged and there is no refund.
Defaulting during the tournament:
You must text 251-510-0113 or email firstname.lastname@example.org to withdraw during the tournament.
USTA WAIVER AND MEDICAL RELEASE
If you are having trouble with the Match Tennis App! you can print this waiver and email it to email@example.com by 9/23/20. To be considered fully checked in for the tournament and have your badges printed, you must also include the exact hotel name, player cell number, "plus one" name and cell number.
You will need to figure out the app but we can help you once you get here if you are still having trouble.
The Mobile Tennis Center uses conduct rules above and beyond those enforced by the USTA. Players participating in tournaments at the facilities identified are required to abide by these facility rules of behavior on and off of the court. These rules also apply to parents, coaches, siblings, and other guests of the players.
The list below indicates the Facility Behavior Rules:
* No use of the word "suck" or any form of the word spoken or spelled.
* No use of expressions of frustrations with references to deities (i.e. "Oh My God", "Jesus", "Jesus Christ", "Christ", "God") either spoken or spelled
* No use of "freaking", "frigging", or "fricking" or variations of such words either spoken or spelled
* No Smoking anywhere on the premises. Premises include parking lots, bathrooms, and anywhere within 30 feet of a tennis court.
Verbal rules apply to any language. We have officials on sight who are fluent in many languages. Anyone found in violation of these rules may be subject to a Code Violation and receive suspension points
Fort the Boys:
* Any T-shirts worn must be plain or tennis related
* No underwear should be visible above waist band or below hemline
* Shirts must be worn at all times
* Shorts must be worn appropriately above pelvic bones
* Sleeveless shirts are acceptable if made that way - no cutoffs
For the Girls:
* Any T-shirts must be plain or tennis related
* Compression shorts must be fully covered with a skirt, shorts, or dress. Also known as "shorties" or "booty shorts" are not allowed to be worn without being covered
* Skirts and shorts must be worn appropriately above the pelvic bones
* The bottom of your Shirt must touch the top of your Skirt or Short while standing upright-shoulders back; this means do not roll down your skirts or shorts. Trust us when we tell you that your equipment (skirt or short) is not working properly during play when rolled
Thank you for your cooperation
In matches without an official on court, players are expected to follow "The Code"
If you have never read it, please do so.
FACILITY SITE MAP
We will use one site for matches and will have at least 8 courts available all day for warmup at this site:
MTC - Mobile Tennis Center, 851 Gaillard Drive, Mobile, AL 36608--There will be four site desks covering specific court groupings. Your only way to your court will be by these site desks and the staff will only let you in with your badge.
SITE B - COURTS 20-34 ENTER BY COURT 27
SITE D - COURTS 45-60 ENTER BY COURT 45
--Barricades will designate the "Sites" (tournament desk and specific court grouping), practice courts, and bathrooms. Anyone caught moving or jumping a barricade will result in a code violation for the player. We have to control entrances and exits properly to minimize any possible exposure.
--If you are playing on courts 9-34, your only way to the restroom is back through your site gate and through the front door of the building.
--Players will wait outside the gates until they receive a court assignment text maintaining, while maintaining 6 foot distancing.
--No chairs on sidewalks outside of the gates. The general public use these sidewalks as walking and biking trails.
--Only players and plus one should have a need to stand outside the gate while waiting for the court assignment text. No one else should be within 12 feet of the gates.
FORMAT OF PLAY - Updated 9/11/20
This is a Two Day Tournament
- Singles Matches are scheduled for Saturday and Sunday
- Each division will consist of two 16 feed in draws
- The draws will be waterfalled to make two balanced draws
- USTA Southern will provide the selection list. Players will be selected directly from the USTA Southern Standing list in the age division in which they apply.
- Until Wednesday prior to the tournament start date, alternates will fill in for any withdrawn player
- On Wednesday, the tournament director will split the 32 players into two balanced 16 draws using a format supplied by the Southern Office
- SEEDING WILL BE DONE STRAIGHT FROM STANDING LIST
- After the draws are complete, the next alternate will fill a “withdrawal” spot no matter in which draw the withdrawal occurs
- If a seeded player withdraws prior to 9:00 am local time the Friday before the tournament, the seeds shall be adjusted (only in that particular draw) according to FAC
- If the withdrawal occurs after 9:00 am local time, the next alternate would be placed on the same line as the withdrawing seed
- Out of Section players can be accepted, only after all Southern Section players have been taken care of first
----Format will be a feed in consolation through quarters for a 16 draw. The main draw will complete. The finals of consolation will not be played.
----If less than 24 players, there will only be one 32 draw for that division.
----Scoring Format for singles is Best 2 out of 3 Sets (10 Point Match Tiebreak in lieu of the 3rd Set) for all matches 12s-18s----Best 2 out of 3 Short Sets (7 Point Match Tiebreak in lieu of the 3rd Set) for 10s
WE WILL ACCEPT LATE ENTRIES ON A FIRST COME, FIRST SERVE BASIS, VIA EMAIL - firstname.lastname@example.org.
Late entries will go below all other timely entries.
EMAIL IS THE ONLY WAY TO COMMUNICATE FOR LATE ENTRIES. You will get a response after selections have been finalized.
Per USTA Southern, only two players can warm up per court. Practice Safe Distancing and no congregating.
Basically in the nicest way possible, we are saying get on the court, touch as little as possible, practice, and leave when you are done practicing. The alternative per USTA Southern is not to offer practice courts, SO DO WHAT YOU HAVE TO SO WE CAN OFFER PRACTICE COURTS ON SITE!
Friday - All 60 courts are available for practice, first come - first serve.
Saturday and Sunday - All 60 courts are available for practice, first come - first served UNTIL 7:30 AM. AT 7:25 AM AN ANNOUNCEMENT WILL BE MADE FOR YOU TO EXIT THE COURTS BY 7:30. EVERYONE MUST EXIT SO THE MAINTENANCE STAFF CAN SPRAY THE BENCHES BEFORE 8:00 MATCHES.
We will have practice courts open throughout the day. Courts 1 -12 are the practice courts.
If there is not a high demand for practice courts, we may possibly allow the players' plus one or coach on the court. If it is busy, only players will be allowed on the practice courts.
Bring your own practice balls marked with your initials.
There will be a staff person monitoring the practice courts. If that person tells you only players, DO NOT argue with them.
There will be a maintenance person to spray benches after use.
There will also be some slow times throughout the day at each of the "Sites." You can ask the desk person of your match site if there are any open courts for practice.
If you want to practice with a coach or parent, you can use the other location listed below before coming to the Mobile Tennis Center.
CHTC - Cottage Hill Tennis Center in Medal of Honor Park, 1711 Hillcrest Road, 36695, (251) 666-9539 (10 Courts) - Site opens at 6:30
