MEDICAL RELEASE FORM
USTA requires a medical release SIGNED BY THEIR PARENT OR
GUARDIAN for every player. This form must be presented at the time of the
tournament registration. Please download and bring this completed form with
you, to speed up the registration process. Players are not allowed on court
without this signed release .

COMMUNICATION
The best way to communicate with us before this tournament
is by email, NOT by phone. This is for documentation purposes and so that way
we can make sure nothing gets missed. Please adhere to this request and send
all questions/concerns via email to Administration@asandaces.org.
Once the tournament starts, please use the tournament desk number (504) 487-1147) as the best way to contact us.
Emails may not be checked regularly throughout the day as we are running the
tournament.
CHECK-IN
Please have your child check in at the tournament desk at least 30 minutes
prior to your child's first scheduled match time. If courts are open, we
will put your child's match on sooner and help keep the tournament on schedule.
Please keep in mind that there is a 15-minute default period under USTA rules.
A player who does not check in by the time he/she is scheduled to play, will be
put on the clock for being late and penalized according to the rules in
relation to the untimeliness. After 15 minutes, the match is defaulted, and
your child will not get to play the match. This is why it is so important to
check in early and plan to arrive early in case there is traffic or an accident
or anything that can delay you arriving early/on-time.

DOUBLES
You must register with a doubles partner.
Please check the Competitors List to verify you have the correct Doubles
Status:
--If you are not showing as entered in doubles and should be, please email to
have your name added.
--If you have a partner who has registered but it is not showing, please email
your partners name.
--If you do not have a partner but would like to play, email us (administration@asandaces.org) and we will try to find you a doubles partner.
FORMAT OF PLAY
All Singles draws (12’s-18’s) will play the best two out of
three tie-break sets with a Match tie-break in lieu of the third set.
The 10&U division will be Green Level 1 and Orange Level 1 within the new
Youth Progression system parameters. Green Level 10's will play on the 78 foot
court using Green Low Compression Balls and up to 29" racquet.
Orange Level 1 will play on a 60’ court with orange balls.
The required scoring format, for 10's singles matches, shall be the best of two
short sets (first to four (4) and win by two), with a set tiebreak (first to
seven (7) and win by two) at 4-4 in each set, and a set tiebreak (first to
seven (7) and win by two) in lieu of the third set. No ad scoring.
Note: With unpredictable weather, the scoring format may have to be
shortened/modified.
NO COACHING ALLOWED FOR 10’S DIVISIONS BECAUSE OF SHORT SETS & 7-PT

request, we may/may not be able to accommodate you.

TOURNAMENT TIMELINE
Monday, 11/11 at 11:59PM CST: Deadline to register for this
tournament or withdraw. To withdraw go to the tournament website (you are here
right now), click "EDIT REGISTRATION" on the right side of your
screen, then click "WITHDRAW". If you do not know your Confirmation
#, then click "Locate Confirmation" just below the
"withdraw" link. We cannot withdraw you, you must do this yourself.
Tuesday, 11/12: Entries processed
Thursday, 11/14: Draws posted
Friday, 11/15: Matches may start for some draws (depends on weather
forecast/size of draws)
Saturday, 11/16: Tournament play begins for all draws.
Sunday, 11/17: Final day of the tournament. All play concludes that day.
*Draws will be updated, at the very least, at the conclusion of each day.

For parents new to tournaments: After you sign up for the tournament,
your credit card will not be charged until after the deadline for everyone to
register for the tournament closes. For this tournament, Monday, November 11,
2019 is the deadline (1 minute before midnight) and the entries will be
processed on Tuesday, which is when your credit card will be charged.
Be prepared to play all weekend (Saturday and Sunday), with the possibility of
playing on Friday (in the case of inclement weather forecast for the
weekend/large draws); Friday matches would not be schedule before 4pm to
accommodate commute. With unpredictable weather, matches may have to be
shortened, moved, etc., to adjust for such conditions. These tournaments are
for the children, and we will do everything we can to help you with anything

TOURNAMENT EVALUATION
Please fill out the Tournament Evaluation form on your
Tennis Tournament experience. To complete this form, more info
WITHDRAWS / REFUND POLICY (READ CAREFULLY)
Withdrawal Prior to Entry Deadline:
Go to the Tournament website and click "Withdraw" in the "EDIT
REGISTRATION" box on the right side of your screen. From there you can
withdraw. If you do not know your Confirmation #, then click "Locate
Confirmation" just below "Withdraw." We cannot withdraw you, you
must do this yourself.
YOU WILL LOSE THE ENTRY FEE IF YOU DO NOT WITHDRAW ONLINE BEFORE REGISTRATION
CLOSES.
Withdrawal After Entry Deadline:
Immediately contact the tournament director to withdraw from the tournament.
You must email your withdrawal. DO NOT call to withdraw. The email is Administration@asandaces.org.
If the player is not playing because of an injury or illness, the player shall
provide written verification of the injury or illness from a medical
professional no later than the last scheduled day of the tournament. There are
No refunds if withdrawing after registration closes.
Defaulting during the tournament:
You must contact Tournament Director and get approval from the Head Referee. Do
not tell just anyone at the desk and think you have properly defaulted. Unless
you speak to the Head Referee in person, it will count as a "No
Show." WE WILL NOT ACCEPT ANY WITHDRAWALS OVER THE PHONE! If the player is
not playing because of an injury or illness, the player shall provide written
verification of the injury or illness from a medical professional no later than
the last scheduled day of the tournament.
REFUNDS
No refunds after registration is closed.
If you withdraw before registration closes, your credit card will not be
charged.
If you withdraw after registration closes, there are No Refunds.

Email us if you have questions about local accommodation.
Notes
Water Bottles: Players are advised to bring a water bottle.
Rain Policy: In the event of rain, the tournament will reschedule matches
accordingly throughout the weekend. Everyone should prepare to play under the
lights and on Sunday. Shortened scoring formats may be used.
