Now that the selections for doubles has been made, please note that the Singles website will be the only website for singles and doubles. All doubles information will be on the singles website.

TOURNAMENT REGISTRATION FRIDAY
Registration will take place at Pleasant Valley Country Club (Tennis club house) from 3:00 -7:00 on Friday, April 15. It is imperative that all players register before
their first match. If, for reasons beyond your control you cannot make
registration before your doubles match please notify the tournament director
by e-mail to ask for permission to register at your playing site.
*****Due to Friday afternoon traffic, please allow extra time for travel from PV to Burns Park after registering at Pleasant Valley.

BIRTH CERTIFICATES/ PROOF OF CITIZENSHIP
All players must have a Birth Certificate on file in the Southern office for proof of US citizenship..Green cards will be accepted, but passports will not. A file of those with proof on file can be found by clicking the following link:

MEDICAL RELEASE FORMS
A signed medical release form is required prior to playing your first match. Parent or guardian must sign the medical release. Please print the form and bring the completed document with you to registration.

WITHDRAWALS
All withdrawals after Sunday, August 28 midnight, should be in writing and the reason for the withdrawal given.Send to the referee at chelton48@yahoo.com On or Before Sunday, August 28, please withdraw on the website. Go to the Tournament website and click "EDIT REGISTRATION" on the left side of your screen then "Withdraw". From there you can withdraw. If you do not know your Confirmation #, then click "Locate Comfirmation" just below "Withdraw".Your credit card will not be charged and no reason for the withdrawal is necessary.
After Sunday. August 28 at 11:59pm, withdrawing players should email the referee at chelton48@yahoo.com stating the reason for the withdrawal. Suspension points will be given for reasons other than illness, injury, or personal circumstance. Medical documentation or explanation of personal circumstance must be sent to referee before the tournament ends. Players withdrawing after the tournament begins must see the referee (Cheryl Helton) in person or player will be listed as "NO SHOW". Do not leave a message for the referee.
No refund will be given if a player withdraws after midnight, Friday, SEPTEMBER 2.

ALTERNATES
The alternates by Event Report will be updated as changes are made. Click the "Alternate by Events" tab above to view the updated alternates list. POINT OF NO RETURN
If you have reached the "point of no return" for traveling, please be courteous and withdraw from the alternates list. We understand that some of you may not be able to come at a moments notice, even if a spot opens. As long as you are on the Alternates by Event Report, we assume you can still attend.
It is the alternate's responsibility to check the website to see if your alternate status has changed. The tournament will make every effort to contact you if your status changes and as a result you are selected to play in the tournament. You should make sure your contact information is correct on your membership profile. The tournament will not be responsible for a player not selected if the tournament cannot contact him/her due to incorrect or outdated contact information.
Once an alternate is selected for play, payment is due immediately.

ON SITE ALTERNATES for Singles and Doubles
On-site alternates should report to the Referee at Burns Park 30 minuites prior to the first Match time for your division. Should a place in the draw become available, entry will be determined by the ordered alternate list.

SCORING FORMAT/REGULATIONS
All main draw matches will be best of three tiebreak sets. USTA Southern could change this should heat/weather become a factor.
All consolation matches will be best of two tiebreak sets with a match tiebreak (first to 10 by 2 points)to be played in lieu of the third set.
The consolation will be a full feed-in consolation through the quarterfinals. Consolation matches will be played through the semifinal round.
Doubles will play an 8 game proset with a 7-point tiebreaker to be played at 8-all.
There will be a playoff for third and fourth place in the main draw singles and doubles.

2011 NEW RULES
When playing a 10 point tiebreaker in lieu of the 3rd set, there will be a mandatory 3 minute break. Coaching will be allowed ON COURT during this break. No new balls. Cell phone may also be used on court during this break only. Be sure to have phone turned off while on court at other times.
When playing a full 3rd set, there will be a mandatory 10 minute break between the 2nd and 3rd sets for ALL age divisions. New balls for the 3rd set.
Line calls changed from "out" to "in" no longer result in a let. The player who made the incorrect call now loses the point regardless of their subsequent shot.

TOURNAMENT REFEREE ON SITE AT BURNS PARK
During play hours, Cheryl Helton, Referee, will be on site at Burns Park.
During the day, if you need to reach the referee, call 205-999-8118 (Dan Lucas) and ask for Cheryl or email the referee at chelton48@yahoo.com.
In case of weather problems, we will post delays on the SINGLES WEBSITE. You may also call Pleasant Valley Country Club (501) 225-2252 to get an update on delays.

DRESS CODE
For the Boys: Any T-shirts worn must be plain or tennis related. No underwear should be visible above waist band or below hemline. Shirts must be worn at all times. Shorts must be worn appropriately above pelvic bones. Sleeveless shirts are acceptable if made that way - no cutoffs. For the Girls: Any T-shirts must be plain or tennis related. Skirts and shorts must be worn appropriately above the pelvic bones. The bottom of your shirt must touch the top of your skirt or shorts while standing upright- shoulders back. This means do not roll down your skirts or shorts. Thank you for your cooperation.

If you missed the entry deadline for singles and would like to be entered in G12 or placed on the alternate list for B12 or B14 or G14, email Cheryl Helton at chelton48@yahoo.com. Late entries will be placed at the bottom of the alternate list in the order they are received or into the draw if the draw is not full. Entry into doubles begins Tuesday, August 30 if you also want to enter doubles. Alternates are eligible to play doubles if all main draw singles players are not paired or the draw is not full. Late entries will be placed at the bottom of the alternate list in the order they are received.

Tentative Schedule
Friday: 2 rounds of doubles First round at 5 pm
Saturday: 2 rounds of Main, 1 round of Consolation, 1 round of doubles
Sunday: 2 rounds of Main, 3 rounds of Consolation, 1 round of doubles
Monday: SF and F Main, 3/4 PO, 3 rounds of Consolation, F and 3/4 PO of doubles
Consolation will play through the semifinals. SF consolation matches on Monday will be scheduled at 3pm.

SEEDING
USTA SOUTHERN SINGLES SEEDING CRITERIA: Seeding shall be done using only the results from the most recently published USTA Southern Combined Standings List (Published List used for selections 8/29/11) of the division in the order in which players appear on the list.
Players who have a standing in the next younger age division MAY be seeded in any group of seeds if they are in the top 10 of the most recently published USTA Southern Combined Standings List of any younger age division.This is determined by the Seeding Calculator. Players with current top 50 USTA National standing, top 100 ITF ranking, top 10000 ATP or WTA rankings will be considered for seeding.

ENTERING TWO TOURNAMENTS (Including those on the Alternate List)
Do not enter two tournaments at the same time. How to avoid Penalties: If you end up on the alternate list, you must with-draw from the alternate list first and then enter the 2nd event. Tournaments have different deadlines that will allow you time to make your changes.

MAKING THE DRAWS
The Singles draws will be made at 7 pm (Central) on Tuesday, September 6.
The Doubles draws will be made at 7pm (Central) on Tuesday, September6.
FIRST MATCH TIMES will be published by Wednesday, September 7, at 9 pm.

SELECTION CRITERIA
Entry will be based on selection criteria of 56 from the age group of the event and up to 8 from the lower age group who do not get in the first 56, and who are in the top 80 of the Southern standings in the lower age group at the time of selection.
|
|
HOST HOTELS
The host hotels for the tournament are the Hampton Inn and Suites (501-537-4600) and the Crown Plaza Holiday Inn(501-223-3000) and Wingate (501-227-6800). Ask for the Bullfrog Super Circuit rate when making reservations. Please stay at these hotels as they are the tournament sponsors.

ENTERING TWO AGE DIVISIONS
Players are allowed to enter two divisions with these guidelines:
#1. Players selected to both age divisions they apply for will automatically be selected to the older age division. They would be removed from the other age division
#2. Players not selected to either division would remain on the alternate lists for both divisions but would be obligated to play the division they first get in. They would be removed from the Alternate list in the other division.
#3. Players selected to one age division would be removed from the alternates list for the division they were not selected.
#4. Once a player is selected for any one division no changes can be made.

Registering for BG14 and BG16
Players are allowed to register for both age divisions. Players should register on both Little Rock and Memphis tournament sites. Credit cards will only be processed for the age division for which you are selected.

DOUBLES FOR THIS TOURNAMENT
This tournament does have doubles. However, to make it easier and more efficient for you to select a partner we have created a separate tournament id and page for doubles so you will know first who made the singles tournament before designating a doubles partner. Doubles registration will open on TUESDAY, August 30 after the competitor's list for singles is posted. Doubles registration will close on Friday, SEPTEMBER 2. So a player does not lose out on important information, please help us by offering this contact information.

FACEBOOK FOR A DOUBLES PARTNER
The tournament will NOT partner players for Doubles. Each player is responsible for finding his or her own partner and MUST register prior to the doubles deadline. Partnerships must be confirmed and it is mandatory for BOTH partners to sign up with each other. To assist players in finding a doubles partner, please visit the tournament facebook group page. Do not list your phone number or email address on the wall.

DOUBLES INFORMATION
This tournament will have doubles.
The tournament ID for doubles registration is 700014811.
Doubles play will begin on Friday evening with two rounds. (Format for doubles is an 8-game pro set. A 7-point tiebreak will be used at 8-all.)
We do NOT partner players. Please use the Facebook Group for communicating to find a partner. Do not list your phone number or email address on the Facebook page.
You MUST enter doubles in the same age group that you were accepted in for singles. It is your responsibility to find a partner, confirm the partnership, and then register by the doubles deadline on Friday, SEPTEMBER 2. BOTH partners must sign up with your partner.
If you are playing doubles ONLY, then the fee is $25.00, which is payable at registration on Friday.
