MEDICAL RELEASE FORM
Medical Release Forms have to be completed and signed by the PARENT OR LEGAL GUARDIAN..Parents, please do not send your child without this form completed. This form must be completed in order to check in.

MANDATORY CHECK-IN
We will hold check in April 16th (Friday) from 2:00 PM until 7PM. PLAYERS ARE TO REGISTER ACCORDING TO THEIR AGE DIVISION AT THE FOLLOWING SITES:

Only the player is allowed to register into the tournament.
We will hold a check-in on Saturday, April 17, from 7:00 - 9:00 a.m. at Leftwich Tennis Centerfor those who could not make it the night before. Arrive in PLENTY of time to check in and get to your facility for your first match. We are not able to predict how many people will be checking in Saturday morning and you can not play your match until you have checked in for the tournament. If there is a line that causes you to be late, you will be penalized.

SEEDING INFORMATION
SINGLES SEEDING CRITERIA Seeding shall be done using only the results from most recently published USTA Southern Combined Standings Lists of the division in the order in which players appear on the list.
Players who have a standing in the next younger age division may be seeded in any group of seeds if they are in the top 10 of the most recently published USTA Southern Combined Standings Lists of any younger age division. Players with current top 50 USTA National standing, top 100 ITF ranking, top 1000 ATP or WTA rankings should be considered for seeding.

SELECTION CRITERIA
Top 64 players applying from the USTA/Southern latest STANDINGS LIST. 56 players from the age group of the event will be selected and up to 8 players from the younger age group who are eligible from the younger age group, who have a standing in the top 80 of the younger age group, and are not in the selected 56, will be selected. The names of the players who have been selected will appear in as COMPETITORS. Alternates are listed in the REPORT SECTION. DO NOT REFER TO THE ALTERNATES ON THE FAR LEFT SIDE OF THE WEB PAGE (That list is not updated).

WITHDRAWALS
Withdrawal BEFORE Sunday 4/04/09 11:59 pm
Go to the Tournament website and click "EDIT REGISTRATION" on the left side of your screen then locate "WITHDRAW." From there you can withdraw. If you do not know your Confirmation #, then click "Locate Confirmation" just below "Withdraw." We cannot withdraw you, you must do this yourself.

Defaulting during the tournament
You MUST see the trainer and get approval from the Head Referee. DO NOT tell anyone at the desk and think you have properly defaulted. You must see the head referee in person or it will be counted as a “No Show” which carries a penalty of 5 suspension points. No telephone withdrawals will be accepted.

ALTERNATES
CONTACT INFORMATION It is your responsibility to update us of your current information. We will call the phone numbers given by TennisLink to notify you of the opportunity to enter. We will not try to contact you by the email address given by TennisLink this has proven to be unsuccessful. We will only communicate with you by email if you first contact us. ORDERED ALTERNATES REPORT This is the order alternates will replace any withdrawals originally selected from the Standings List. (This report will be posted after selections.)
PAYMENT If you accept a spot, you will have to overnight your entry fee - Check made payable to Tennis Memphis, c/o Leftwich Tennis Center, 4145 Southern Avenue, Memphis, TN, 38117. Entry fee is $59.63. Since you were not selected in the initial batch, your credit card was never processed. Your acceptance is not final until entry fee has been received.
POINT OF NO RETURN If is your obligation to notify us if you have reached the "point of no return" for travelling. We understand that some of you may not be able to come at a moments notice if a spot opens. Please be courteous and withdraw from the alternates list if you know you cannot travel. We have to contact alternates in order, even though it may be the night before the tournament. We cannot know your intent until you tell us. As long as you are on the Alternates by Event Report, we assume you can still attend.
LATE ENTRIES Anyone wanting to enter the tournament after registration closes has to email slang@tennismemphis.org. If there are alternates in the division you wish to enter, late entries will go below all other alternates, regardless of ranking.
ON-SITE ALTERNATES Need to report to the correct site for your age division 30 minutes before the start of play and must be present for all starting match times. If there is more than one on-site alternate, selection is based on the ordered alternate list.

SCORING REGULATIONS/ FORMAT OF PLAY
All main draw matches will be best out of 3 sets.
All consolation matches will be best 2 out of 3 sets with a tie-breaker in lieu of the 3rd set.
The 3rd set tie-breaker will be a match tie-break played to 10 points with a margin of 2 points.
The consolation will be a full feed-in consolation through the quarterfinals.
There will be a play-off for 3rd and 4th place in the main draw.
Schedule of play (for a 64 draw):
Saturday: 2 rounds of Main Draw, 1 round Consolation
Sunday: 2 rounds Main Draw, 3 rounds Consolation
Monday: 2 rounds Main Draw, 3 rounds Consolation
REMEMBER, NOTHING CANCELS UNLESS IT ALL CANCELS. DO NOT ASSUME ANYTHING IS CANCELED IF INCLIMATE WEATHER OCCURS.
INDOOR BACKUP IS AVAILABLE AND WILL BE USED.

TIMELINE
All times posted are Central Time
4/4 Sun- 11:59 pm (one minute before midnight) Deadline to register or withdrawal.
4/5 Mon- After this date please email or fax any withdrawal. (see Withdrawal)
4/7 Wed- 5:00pm Selection Lists and Ordered Alternates Report will be posted to the tournament website. (See Alternates)
4/8 Thur- Start calling alternates for any open spots - you have 24 hours to respond.
4/10 Sat- Last day to withdraw and receive a refund
4/14 Wed- 8:00 am - Alternates will now have 6 hours to respond.
4/15 Thurs- 2:00PM- First match times will be posted, anyone withdrawing after this time will receive a penalty without faxed doctor excuse.
4/16 Fri- The first alternate that we reach will be offered any open spot.
4/16 Fri - 5:00PM - Doubles Begins

ENTERING TWO TOURNAMENTS
(Including those on the Alternate List)
Do not enter two tournaments at the same time. How to avoid Penalties: If you end up on the alternate list, you must with-draw from the alternate list first and then enter the 2nd event. Tournaments have different deadlines that will allow you time to make your changes.

DOUBLES INFORMATION
This tournament will have doubles
The tournament ID for doubles registration is 704246910.
Doubles play will begin on Friday evening with two rounds. ( It is an 8-game pro set.)
We do NOT partner players.
It is your job to find a partner, confirm the partnership, and then register by the doubles deadline. BOTH partners must (mandatory) sign up with your partner.
If you only are playing doubles, then the fee is $25.00, which is payable at the first doubles match.

The tournament will NOT partner players for Doubles. Each player is responsible for finding his or her own partner and MUST register prior to the doubles deadline. GUIDLINES FOR ENTERING MORE THAN ONE DIVISION
Players are allowed to enter two divisions with the these guidelines. (This is for selection only you cannot play two divisions at one tournament)
1. Players selected to both age divisions they apply for, will automatically be selected to the older age division. They would be removed from the younger age division.
2. Players not selected to either division would remain on the alternate's lists for both divisions but would be obligated to play the division they first get in, from the alternate list. They would be removed from the Alternates list in the other division.
3. Players selected to one age division would be removed from the alternates list of the division they were not selected.
4. Once a player is selected for any one division no changes can be made.

OFFICIAL TOURNAMENT BALL
The official tournament ball is Dunlop.

COURT SURFACE
All matches will be played on hard courts. GIRLS 18 division will be played on INDOOR hard courts at Leftwich and Eldon Roark tennis centers.

THE CODE
In matches without an official on court players are expected to follow the code.
|
FACILITY RULES
Tournament sites use conduct rules above and beyond those enforced by the USTA. Players participating in tournaments at the facilities identified are required to abide by these rules of behavior on and off the court.
These rules also apply to parents, coaches, siblings, and other guests of the players. The list below indicates the Facility Behavior Rules: No use of the word "suck" or any form of the word spoken or spelled. No use of expressions of frustrations with references to deities (i.e. "Oh My God", "Jesus", "Jesus Christ", "Christ", "God") either spoken or spelled No use of "freaking", "frigging", or "fricking" or variations of such words either spoken or spelled.
No smoking anywhere on the premises.
Anyone found in violation of these rules may be subject to a Code Violation and receive suspension points.

TRAINER
There will be a trainer on site at Leftwich Tennis Center. By law, trainers are not allowed to distribute any medicine. Please bring your own Tylenol, Advil, Aleve, or any other medications you may need. If you have an injury or illness we suggest that you see the trainer.
If you need to withdrawal do to an injury or illness, the process will be smoother if we have confirmation from the trainer. Without confirmation or a written doctor’s excuse by 5:00pm cst Monday you may incur suspension points for leaving. Remember if you default from the tournament due to injury you must the Head Referee in person or it will count as a “No Show”.

DRESS CODE
Boys: Any T-shirt worn must be plain or tennis related. No underwear should be visible about the waist band or below hemline. Shirts must be worn at all times. Shorts must be worn appropriately above pelvic bones. Sleeveless shirts are acceptable if made that way - no cutoffs.
Girls: Any T-shirt worn must be plain or tennis related. Skirts and shorts must be worn appropriately above the pelvic bones. The bottom of your shirt must touch the top of your skirt or shorts while standing upright - shoulders back. This means do not roll down your skirt or shorts.

There will be a stringer at various sites during the tournament.

Singles is April 4. Doubles is April 8.

DOUBLES FOR THIS TOURNAMENT
This tournament does have doubles. However, to make it easier and more efficient for you to know first who made the singles tournament and then select a doubles partner, we have set up another tournament id and page just for doubles registration. Doubles registration will open on April 6 after the competitor's list for singles is posted. Doubles registration will close on April 8. Please enter doubles in the same age group that your were accepted in for singles. Here's the link to the doubles registration page.
