Alternates By Event Future Match Info Report Medical and Parent Release

MANDATORY CHECK-IN
Friday, September 4, 5:30-9:30 pm at Hampton Inn and Suites. Directions to the Hampton are on the "more info" tab of the Hampton information on this page. Mandatory means just that. We are staying until 9:30 pm for your convenience. We feel strongly that you should be able to make it by that time, for no other reason than your children need proper rest. For those of you that "just can't make it by that time" need to do the following:
1. Make sure your entry fee has been paid by Friday night - check the Tournament Entry Fee Report. 2. Fax in your Medical Release Waiver with your cell phone numbers & hotel info to 501-225-5625 or you can e-mail all that information if you have a scanner. 3. Show up 30 minutes before your match time if you are playing at Pleasant Valley. If you are playing at another site, you will have to check in at Pleasant Valley before you go to the other site. Be sure to provide ample time to make it to your site 30 minutes before scheduled time. Please be patient with us when checking in, we will be focused on getting matches on and off the court. Checking in people at this time will be a detriment to the tournament. 4. Those of you playing 8:00 am matches will need to be ready to be on your assigned court at 7:45 am. Make sure you allow yourself plenty of time. On Saturday we will have only one person at Pleasant Valley checking in players for the tournament (those that did not come the night before). Obviously this is not enough to check in everyone 30 minutes before their match times. If you are not on your court by your assigned time, you will be penalized. Because you did not check-in the night before is no excuse for being late for your match. We cannot predict if there will be 5 people or 50 people waiting to check in when you do. You cannot play your match until you have checked in for the tournament. If there is a line that causes you to be late for your match, unfortunately that will be your problem that could have been avoided. Therefore, we urge all of you to check in on Friday this includes Locals, Commuters and Travelers. We will be here until 9:30 pm on Friday. Thank you for your cooperation.

8/23 Sun - 11:59 pm (one minute before midnight) Deadliine to register or withdraw. To withdraw - click on registration, withdraw
8/24 Mon - After the above date, please email any withdrawals to chipstearns@hotmail.com (no phone or fax )
8/25 Tue - 5:00 pm Selection lists and ordered alternantes report will be posted to the tournament website ...we will assume that alternates can attend unless you email a withdrawal notification prior to your selection..once an alternate has been selected, entry fee is required immediately.
8/27 Thur - Start calling alternates for any open spots - you have 24 hours to respond.
8/29 Sat - Last day to withdraw and receive a refund.
8/31 Mon - Alternates will now have 6 hours to respond.
9/2 Wed - The first alternate that we reach will be offered any open spot.
9/3 Thur - First round match time posted at 9:00 am ...anyone withdrawing after this time will receive a penalty.
9/4 Fri - Mandatory check-in at Hampton Inn and Suites 5:30-9:30 pm. Draws will be posted at this time.
9/5 Sat - Tournament begins, courts open at each site at 6:30 am for warm-up. Please continue to check this website for updated information as the start date approaches.

ALTERNATES
CONTACT INFORMATION It is your responsibility to notify us of your most current information. We will call the phone numbers given by TennisLink to notify you of the opportunity to enter. We will not try to contact you by the e-mail address given by TennisLink, this has proven to be unsuccessful. We will only communicate with you by email if you first contact us. ORDERED ALTERNATES REPORT This is the order alternates will replace any withdrawals originally selected from the Standings List. This report will be posted after selections.
PAYMENT If you accept a spot, you must overnight your entry fee. Since you were not selected in the initial batch, your credit cards were never processed. We cannot take credit cards after the initial selection process. You must OVERNIGHT YOUR FEE - THERE ARE NO EXCEPTIONS. An Alternate will not be listed as a Competitor until the entry fee has been received. The entry fee is $48.88, made payable to the Little Rock Bullfrog c/o Pleasant Valley Tennis Center, 3 Pleasant Valley Dr. Little Rock, AR 72212.
POINT OF NO RETURN It is your duty to notify us if you have reached the "point of no return" for travelling. We under- stand that some of you may not be able to come at a moments notice if a spot opens. Please be courteous and withdraw from the Alternates List if you know you cannot travel. We have to contact Alternates in order, even though it may be the night before the tournament and you are in South Carolina. We cannot know someones intent until you tell us. As long as you are on the Alternates by Event Report, we assume you can still attend.
LATE ENTRIES Anyone wanting to enter the tournament after registraion closes, has to email chipstearns@hotmail.com. If there are alternates in the division you wish to enter, late entries will go below all other alternates, regardless of ranking.
ON-SITE ALTERNATES You need to report to the correct site for your age division 30 minutes before the start of play and must be present for all starting match times. If there is more than one on-site alternate, and there is an opening we will go by the Ordered Alternate List to make the selection.

Withdrawal BEFORE Sunday, 8/23 11:59 pm Go to the Tournament website and click "EDIT REGISTRATION" on the left side of your screen then "Withdraw". From there you can withdraw. If you do not know your Confirmation #, then click "Locate Comfirmation" just below "Withdraw". We cannot withdraw you, you must do this your- self.

Defaulting during the tournament: You must see the trainer and get approval from the Head Referee. Do not tell anyone at the desk and think you have properly defaulted. Unless you speak to the Head Referee in person, it will be counted as a "No Show". If you are at another site, have the desk worker call the Head Referee for you to speak with him. No telephone withdrawals will be accepted. You must see the Head Referee in person or it will be counted as "NO SHOW" which carries 5 suspension points.

USTA SOUTHERN SEEDING CRITERIA
USTA Southern Level 1, 2 and 3 Tournaments
SINGLES SEEDING CRITERIA: Seeding shall be done using only the results from most recently published USTA Southern Combined Standings Lists of the division in the order in which players appear on the list.
Definition of Most Recently Published USTA Southern Combined Standings Lists:
• Southern Closed Championships (June) Published List on Monday prior to tournament start
• Southern Championships (other than June) Published List at least 8 days prior to tournament start
• Southern Designated Published List at least 8 days prior to tournament start
• Southern Level 3 Published List used for Selections tournament start
In addition to the list, other criteria to consider:
• Players who have a standing in the next younger age division may be seeded in any group of seeds if they are in the top 10 of the most recently published USTA Southern Combined Standings Lists of any younger age division.
• Players with current top 50 USTA National standing, top 100 ITF ranking, top 1000 ATP or WTA rankings should be considered for seeding.
DOUBLES SEEDING CRITERIA
• Teams shall be seeded in the order of their combined standings (e.g., Player A holds the #1 standing and Player B holds the #10 standing. The Team of A & B would have combined standing of 11.) Teams that have the same combined standing shall be seeded in the order of the total number of Ranking points held by each team.
• Players with current top 50 USTA National standing, top 100 ITF ranking, top 1000 ATP or WTA rankings may be considered for seeding.

TRAINER
There will be one trainer on site at Burns Park Tennis Center during matches on Saturday and Monday. Trainer will be at Rebsamen Tennis Center on Sunday. By law, trainers are not allowed to distribute medicine. Please bring your own Tylenol, Advil, Sinus medicine, etc. If you have an injury or illness, we strongly suggest that you see the trainer. If you need to withdraw due to an injury or illness, the process will be much smoother if we have confirmation from the trainer. Without confirmation, or a written doctor's excuse by Monday at 5:00 pm CST, you may incur suspension points for leaving. Remember that if you default due to an injury during the tournament, you must see the Head Referee in person or it will count as a "No-Show".

STRINGERS
There will be a stringer at various sites during the tournament. If you prefer a certain string, you might consider bringing you own, just in case your type of string is unavailable. A fee of $15 is charged if you provide your own string. There will be 2 stringers available at Pleasant Valley. If you need a racquet strung on Friday night, please take the racquet to Pleasant Valley.

ENTRY FEES
Please check the "Tournament Entry Fee Report" above to make sure your entry fee has been paid. If for some reason, your credit card was not accepted, such as, an expired card, you will have to overnight your fee. Late entries or Selected Alternates overnight your check for $48.88 made payable to Little Rock Bullfrog 3 Pleasant Valley Dr. Little Rock, AR 72212. We cannot take credit cards after the initial selection process. YOU MUST OVERNIGHT YOUR FEE. THERE ARE NO EXCEPTIONS. It is not about the money, it is about your intent to participate in the tournament. We would hate for someone not to play because you changed your mind at the last minute and another person did not have time to make travel arrangetments. Thank you for your cooperation.

FORMAT OF PLAY
All main draw matches will be best two out of three sets. All consolation matches will be best two out of three sets with a tiebreaker in lieu of the third set. The third set tiebreaker will be a match tiebreak played to ten points with a margin of two points. The consolation will be a full feed-in cnsolation through the quarterfinals. There will be a playoff for third and fourth place in the main draw. Saturday: 2 rounds Main Draw, 1 round Consolation Sunday: 2 rounds Main Draw, 3 rounds Consolation Monday: 2 rounds Main Draw, 3 rounds Consolation Weather Delays: We may use short scoring in the Main Draw in order to stay on schedule. REMEMBER, NOTHING CANCELS UNLESS IT ALL CANCELS.

RULES FOR ENTERING MORE THAN ONE DIVISION
Players are allowed to enter 2 divisions in Southern Level 3 and Bullfrog tournaments with the following guidelines (This is for selection only, you cannot play 2 divisions at one tournament):
1. Players selected to both age divisions they apply will automatically be selected in the older division. They will be removed from the other (younger) age division.
2. Players not selected to either division would remain on the Alternates list for both divisions but would be obligated to the division they first get in from the Alternates list. They would then be removed from the Alternates list in the other age division.
3. Players selected to one age division would be removed from the Alternates list of the division they were not selected.
4. Once a player is selected for any one division, no changes can be made. There will be not exceptions to these guidelines. The selection process is very fast and the guidelines will be followed precisely. If you feel you have made an incorrect decision during the entry process, you can edit your registration until the closing date.

DRESS CODE
For the Boys: Any T-shirts worn must be plain or tennis related. No underwear should be visible above waist band or below hemline. Shirts must be worn at all times. Shorts must be worn appropriately above pelvic bones. Sleeveless shirts are acceptable if made that way - no cutoffs. For the Girls: Any T-shirts must be plain or tennis related. Skirts and shorts must be worn appropriately above the pelvic bones. The bottom of your shirt must touch the top of your skirt or shorts while standing upright- shoulders back. This means do not roll down your skirts or shorts. Thank you for your cooperation.

ENTERING 2 TOURNAMENTS - DO NOT DO THIS!
Do not enter 2 tournaments at the same time. How to avoid Penalties: If you end up on the alternate list, you must withdraw from the alternate list first and then enter the 2nd tournament. Tournaments have different deadlines that will allow you time to make your changes.
