Dear Parents & Players - I apologize ahead of time for the length of this email. However, all the information is important so please read closely. We are still fresh off the suspension of play so I know we will be working through a lot of logistical challenges as we try to return to play safely. Hopefully everyone can come to the tournament with an extra measure of grace and patience and we will get through it together. Site: Matches will be played outdoors at Kickingbird Tennis Center (KB), 1500 E. Danforth Rd, Edmond, OK and at Oak Tree Country Club (OAK), 700 Country Club Dr., Edmond, OK 73025. Please excuse the mess in the pro shop at KB....we are in the process of moving! Host Hotels: We have three host hotels, Fairfield 405-341-4818, LaQuinta 405-513-5353 and Hampton Inn 405-844-3037 (dial 0). Call the hotel of your choice and ask to book the "Edmond Tennis" rate of $89/night +tax. All 3 hotels are located off of I-35 & 2nd street (exit 141). We appreciate the local hotels working with us for our tournaments in Edmond and appreciate it if you choose to support them. Format Notes: Draw formats depend on the amount of players in the draw. Draws with 17+ players will have a quarterfinal playoff bracket - the final playoff for 7th/8th will not be played in those brackets. All consolation finals matches will be played. Scheduling: This was a large turnout. Even making use of a secondary site, there are a lot of matches to put on 17 courts. There are bigger gaps between matches than I typically like, but it was necessary due to the amount of matches to be played. The tournament was scheduled similar to a section level event since an L5 is our highest level Oklahoma tournament. Most players should only expect 2 singles matches per day maximum, except in a few rare exceptions where it was necessary to schedule 3. Hopefully this extra time will give players plenty of time to hydrate and rest, especially since players are asked to leave the facility between matches. Scoring Notes: Singles – Ad scoring. Best of 3 sets with a match tiebreak in lieu of 3rd set. Consolation Singles - Best of 3 SHORT sets with a 7-point tiebreaker in lieu of the 3rd set for the consolation draw (3-all, competitors play two more games. If 4-all, a 7-point tiebreak is played.)
Sportsmanship: There will be sportsmanship awards given. Players and spectators are invited to nominate players until 1 pm on Sunday at either tournament desk. The umpires will help with selections.
Communication Options: I am going to try my best to wear a mask during the tournament. However, I know some clarity is lost in communication with the mask and I may need to remove it. If your child does not understand what I told him/her, please have him/her clarify. In addition, you may send your child to the desk with a mask on if you prefer. Another option would be to check in for your match and/or report scores through the tournament GROUP ME. Download the Group Me app on your phone and join the group link on your cell phone. You can send me check in messages and/or score results to this group if you prefer to avoid the tournament desk altogether. https://groupme.com/join_group/60418109/YshJSBeC. If you are scheduled to play at Oak Tree, please designate your check in and score messages with "Oak Tree" so that the site director there will know it is for the Oak Tree site.
Packing List: Your player will need to bring enough ice and water for all their matches. The pro shop will not have ice and water available. Please send a container on the court that will last through the whole match. Then keep ice chests in your car with additional ice and water for future matches. Your player and their spectator will need to provide their own folding chairs and shade. Facility seating will not be available. Players and spectators should bring hand sanitizer with them and use it before and after every match. The players are not to use the score tenders. Please call out the score very clearly before every point. All of these items have been removed due to COVID-19 precautions.
Spectators: USTA Oklahoma is asking that each player only bring ONE spectator to the tournament. It is important that we cut down on the amount of people at the facilities and reduce the exposure. Players will be asked to give their spectator contact information if we are required to perform contact tracing after the event.
Balls: If you report your scores via Group Me, please return your match balls to the designated hoppers after the match.
No Loitering: Players are to arrive a few minutes before their match and to depart immediately after. While waiting for your match after checking in, please find an area to wait outside - 6 feet removed from anyone not in your family. Kickingbird will have a microphone that you will be able to hear me call your match. If you choose to remain in your car, please notify me that you are checked in and in your car on the Group Me. The Oak Tree site will not have a microphone. If you are playing at Oak Tree, please check in and then find a shaded area near the tournament desk to wait for your match to be called. Use "Oak Tree" to designate your site check in if you are on the Group Me.
Court Etiquette: Players must put their chairs and bags at least 6 feet apart from each other on the court. They need to switch sides on opposite ends of the net. No shaking hands after the match. Please tap racquets or give a thumbs up instead. Please make sure your player understands this before they arrive at the facility.
Umpire: We will have an umpire at the main site - Kickingbird Tennis Center. The umpire cannot serve as a chair umpire. He/she will be roaming and will be able to assist with questions and issues that arise on the court. He/she cannot stay on a particular court for a long period of time.
Pro Shop: There will be a designated entrance and exit at the pro shop at Kickingbird. Players and spectators are only allowed inside the facility to access the tournament desk or for bathroom usage. No waiting is allowed inside the pro shop. Please consider using Group Me to check in for matches. Tournament staff will be wiping down surfaces and the bathrooms on an hourly basis. Hand sanitizer will be available for use but please bring your own as well.
Remember that everyone's level of comfort during the pandemic is different. We will respect those who choose to wear a mask and we will respect those that choose not to. Please help your players understand that the environment is to be encouraging of all players and spectators, and not a place of criticism. Please follow the guidelines above and in the attachments regardless of your personal feelings on their validity and help me make the tournament as safe as I can for everyone at our facility, including our staff.

There will be no doubles for this event. Doubles will be postponed for junior tournaments until further notice.

POINTS FOR THIS TOURNAMENT
Due to the COVID-19, all 17 USTA sections have worked to create a fair playing field moving forward as a unified body in 2021. The USTA Missouri Valley has agreed to terms with other sections to establish certain time periods that level 3-7 tournaments can count towards the 2021 national standings list. In order to comply with this agreement, the USTA Missouri Valley section will award this event the following points: 2021 USTA National Standings: Level 6 Points 2020 USTA Missouri Valley Standings: Level 5 Points In 2020, a participant of this tournament will receive Level 5 points towards their SECTION ranking. For the 2021 standings, a participant will receive level 6 points towards their NATIONAL? ranking.
