Withdrawing or Defaulting During Tournament
Important Instructions for Defaulting or pulling out during the tournament:
Medical Reasons: You must see the on-site trainer and get approval from the Head Referee. The trainer and Head Referee are located at the Shipyard location. Do not tell just anyone at the desk and think you have properly defaulted. Unless you speak to the Head Referee in person, it will count as a "No Show" and will accumulate suspension points. WE WILL NOT ACCEPT ANY WITHDRAWALS OVER THE PHONE! If the player is not playing because of an injury or illness, a visit with the onsite trainer is required.
Personal Reasons/Emergency: Seek the referee first. If this is not possible or if it is after tournament hours that the emergency occurred email the director your withdrawal with written explanation. (reggie@vdmtennis.com) If you do not follow proper procedure it will count as a "No Show" and will accumulate suspension points. WE WILL NOT ACCEPT ANY WITHDRAWALS OVER THE PHONE.

START TIME INFORMATION
Double-check doubles start times. Some doubles times changes since the original start times were released Wednesday. Double check the times.
Start times are available by clicking "draws". . PLEASE DO NOT CALL the pro shop about start times, they do not have the information, it is posted here online only. The abbreviations are listed below in the "sites information" section. . Remember, check in is 4-7 p.m. on 4/21/17 (details below in check-in information message)

CHECK IN and REGISTRATION - 4 PM until 7 PM on Friday night!!!
. REGISTRATION CHECK IN 4:00 PM until 7:00 PM on Friday April 21st.This registration will take place at Van Deer Meer Tennis Center conference room (upstairs from the pro-shop). Van Deer Meer Tennis Center is located at 19 Deallyon Ave. You will receive a tournament packet that will include directions to all the sites and practice courts and restaurant discounts. Bring the completed medical form (print copy by clicking on "more info") to registration.
For those of you that "just can't make it," please follow these instructions: DO NOT CALL! Follow these instructions so you will not be replaced in the draw.
1 - Make sure your entry fee has been paid!! (No pay - no play) 2 - Email or Fax in your Medical Release Waiver WITH your CELL phone numbers & HOTEL info completed to 843-785-7032 The medical release can be found at: http://www.southern.usta.com/Juniors/tournaments_rankings/forms/ or by clicking on "more info". 3- Come to the main site on Saturday to register - only the VDM Tennis Center site will have registration on Saturday morning. You must register before your first match or you will not be guaranteed a player gift. (Players do not have to register, parents or guardians may register them). 3 - Show up 30 minutes before your match time. Please be patient
with us when checking in, we will be focused on getting matches on and
off the court. Checking in people at this time will be a detriment to
the tournament.
4 - On Saturday, beginning at 7:30 AM, we will only have one person checking in players for the
tournament (those that did not come the night before). We will only register players at the main site: VDM Tennis Center. If this causes you to be late for your match, unfortunately that will
be your problem that could have been avoided. Therefore, we urge all of
you to check-in on Friday this includes Locals, Commuters and Travelers.

WARM UP AND PRACTICE COURTS
After check-in friday some courts will be designated for tournament practice at no-charge at VDM Tennis Center. These will be limited by "first-come, first serve". these courts must be shared with other players and will be 4 players to a court, limited to one hour per player. The same policy will apply each morning of the event from 7-8 a.m. If you want your own reserved court you must call the VDM pro shop, book it, and pay for the court. **IF you wish to reserve a private court please call the VDM Shipyard Pro shop 843-686-8804 (payment required) Shared Practice courts are available first come, first serve at each site between 7-8 a.m.
**Off-site public courts are also available (first-come first serve if not in use** Chaplin Park, Hilton Head High School, and Hilton Head Middle school are all public.

**4/1/2017** SINGLES SELECTION UPDATE!
Singles Selection has been done. You should of received a email confirming that. . Anyone who has been selected for 2 different National level 3s must notify the tournament their choice of event by April 4 or will not receive refund for withdrawing from either. Players who registered for 2 age divisions and are selected for both will be placed in the higher age division unless notified in writing prior to selection.

LATE ENTRY REQUESTS
Due to the size of the alternate list (some over 60!), the tournament committee has decided not to accept late entries. Late entries would have no chance at this point of gaining entry due to the size of the alternate lists.

EVENT DESCRIPTION
The LV3 National is a Unique event. Singles will be a 32 draw and play 2/3 sets with a match tie break for the 3rd. Doubles will be 1 no-ad set to 6 with tie break at 6-6. Players should be prepared to play up to 3 singles matches a day (due to feed-in)

PLAYING SURFACES and Sites
Surfaces: BG 16s will be played on Hard Courts. BG 18s will be played on Clay.
Sites: We are using the 2 Van Der Meer locations as the MAIN SITES for the event. Both are on island and less than 2 miles apart. VDM Shipyard is mainly clay, VDM Tennis Center is all hard courts. In the event of weather, academy programs, or other unforeseen events additional sites may be used as back-up. Any additional sites will be on-island always within 15 minutes of the main sites. All of the tournament hotels are well within 10 minutes of all sites.

Seedings will be run based on the April 12 National Standing list and will be posted on April 13

WITHDRAWALS
Withdrawal Prior to Entry Deadline: Go to the Tournament website and click "EDIT REGISTRATION" on the right side of your screen then "Withdraw". From there you can withdraw. If you do not know your Confirmation #, then click "Locate Confirmation" just below "Withdraw." We cannot withdraw you, you must do this yourself. You will lose the processing fee if you do not withdraw online before registration closes.
Withdrawal After Entry Deadline: Immediately contact the tournament to withdraw from the tournament. You must fax or email your withdrawal. DO NOT call to withdraw. The email is reggie@vdmtennis.com. Once the draw has been made, If the player is not playing because of an injury or illness, the player shall provide written verification of the injury or illness from a medical professional no later than the last scheduled day of the tournament. There are No refunds after the registration deadline.

TRAINING SESSIONS FOR JUNIORS AND PARENTS!
Van Der Meer Tennis Academy is offering a discounted rate to all
tournament participants for sessions. Training sessions will be
available all week at VDM. Morning practice sessions are from 10:00am—noon at $25 per session. Afternoon Sessions run from 3:00—6:00 at $35 per training. On-SITE ALTERNATE INSTRUCTIONS
IF YOU ARE A CURRENT ALTERNATE AND WISH TO BE A ON-SITE ALTERNATE:
1. Be at check-in Friday evening between 4-7 p.m. You will go through check in process and give a check or credit card number to "reserve payment"
2. Report to site of play at 745 a.m. and sign in at desk. You will then be placed in order of standing on alternate list.
3. If someone in draw is no show, the hear referee will be notified and a on-site alternate placed into the match

DIRECTIONS TO ARRIVE ON HILTON HEAD ISLAND and Shipyard Plantation
From Interstate 95, take Exit 8. Ignore other Hilton Head exit signs as this is the most direct route to the Island. From Exit 8, go East on Hwy 278 (Approx 17 miles) until you reach the Hilton Head Island bridge. Continue East on Highway 278 until you reach the Cross Island Expressway. The toll is $1.25, which is worth the price in time, gas, and traffic lights. After passing through the toll booth and crossing the Broad Creek bridge, you will be on Plalmetto Bay Road. Follow this road through two traffic lights and be in the left lane as you approach the Sea Pines Traffic circle. Travel through the traffic circle and exit onto Hwy 278 William Hilton Parkway. The entrance to Shipyard Plantation will be on your right.

If your name is shown on the competitor list without a doubles partner, you are NOT in doubles! If you believe this to be a error email the director immediately with your partner name and division so we can get you added.
If you are on the competitor list without a partner you have until Tuesday April 11th at 8 p.m. eastern to email the director your partner name. If you are a alternate playing doubles with a selected player, you must pay the full entry fee in order to be entered in doubles. If you need a partner we are posting a list for people to find each other.
If you received a email saying you were not selected for doubles please disregard that email, if you were selected for singles you will be selected for doubles (if you wish to play).
If you have been selected for singles and wish to play doubles email your partner name and division entering to director at reggie@vdmtennis.com as soon as possible (by April 11). If you registered with someone or have emailed the director, check the current competitor list to verify you are listed with your partner. If you are not shown with your partner email ASAP so we can pair you up.
We will continue to accept new doubles teams throughout the week (due to multiple site entries and alternates moving in).

DOUBLES ENTRIES CLOSED!!!
As of 9 p.m. eastern 4/11/2017 doubles is closed. If you are not showing on competitor list for doubles you either:
A. Registered for doubles alone and Did not email the director your partner name as directed.
or
B. Never registered for doubles at registration.
If you believe there is an error we may add you to doubles prior to the seeding. However you will need to provide the tournament committee with a copy of a email prior to the 4/11 deadline that shows you were requesting a doubles team by name (with 2 registered players), or show a copy of initial applicant list listing your partner next to your name. Remember if both players did not request each other at registration we never get this on our end.

ELIGIBILITY, Seeding, selection, and IMPORTANT INFO !!!
Membership in the USTA is required to compete in all USTA National
Championships, USTA National Doubles Championships, USTA National Level 2
Tournaments, USTA National Level 3 Tournaments, Additional USTA Junior National
Tournaments, USTA National Spring Team Championships, USTA National Team
Championships, USTA Intersectional Team Championships, and USTA Zone Team
Championships. All US juniors must be in good standing with the USTA to enter
ITF Tournaments and USTA International Tournaments, which includes USTA
Membership.
Age
Eligibility
The USTA uses a "month of birth" age eligibility rule for junior
players competing in USTA sanctioned tournaments. This rule applies to all
local, District, Sectional, and National USTA sanctioned tournaments – it does
not apply to USTA International Tournaments and ITF Tournaments. Junior players
may continue to play in the 12, 14, 16 and 18 age divisions until the month
they turn 13, 15, 17, or 19, respectively.
USTA
International Tournaments and ITF Tournaments use a "year of birth"
age eligibility rule. Juniors may play the 18s, 16s, 14s or 12s division until
the year in which they turn 13, 15, 17, or 19 respectively.
Professionals
Professional players who are age eligible may enter and play in all USTA
National Championships. USTA International Tournaments and ITF Tournaments are
governed by ITF Regulations and allow professional players to play. All other
USTA junior tournaments are limited to amateurs.
Citizenship
and Residency Requirements
USTA National Championships, USTA National Doubles Championships, USTA National
Level 2 Tournaments, USTA National Level 3 Tournaments, Additional USTA Junior
National Tournaments, USTA National Spring Team Championships, USTA National
Team Championships, USTA Intersectional Team Championships, and USTA Zone Team
Championships shall be open to US citizens and:
·
Permanent
resident aliens of the United States.
·
Diplomats. Aliens who have resided in the
United States continuously for more than one year and who are members of
families of persons in the diplomatic or consular corps.
·
Aliens
with Refugee Status.
Aliens who have been granted Refugee Status.
·
Aliens
with Asylee Status.
Aliens who have been granted Asylee Status. Aliens with Temporary Protected
Status. Aliens who have been granted Temporary Protected Status.
·
Aliens
with Adjustment Status.
Aliens whose I-485 (Application to Register Permanent Resident or Adjust
Status) has been accepted for filing.
·
British
Columbians.
Canadian citizens and landed Canadian immigrants who reside in British
Columbia, provided that they were USTA members for at least one month during
2010 and so long as they do not allow their USTA memberships to laps for a
period of more than six months.
Documents
commonly used to support a particular alien status include a permanent resident
alien card (green card), Form I-94, or a receipt confirming filing of the
I-485.
The
citizenship and residency requirements do not apply to USTA International
Tournaments and ITF Tournaments.
USTA National Level 3
Tournaments: Multiple Entries and Selection Process
Multiple Entries: Players Have TWO
Options
Players Choose ONE of the Following
Options, but NOT Both:
·
OPTION
1: Enter any ONE Division of TWO
Concurrent USTA National Level 3 Tournaments (this may be a different division
in each tournament); OR
·
OPTION
2: Enter TWO Divisions of ONE USTA
National Level 3 Tournament
Players may
PLAY in only ONE division of ONE tournament.
OPTION 1: ONE Division of TWO Concurrent Tournaments
·
A
player seeking to enter two concurrent USTA National Level 3 Tournament must
get permission to enter as set forth in USTA Regulation IV.C.12. This requires a player to request and receive
the written permission of both Tournament Committees for the concurrent entry
by the time entries close.
·
Tournament
Committees shall be required to grant permission for concurrent entry when a
request is made; however these requests are required - a Tournament Committee
may not post a blanket permission for concurrent entry.
·
Tournament
Committees will publish the selection and alternate lists no later than 2 days
after entries close.
·
A
player accepted into both tournaments shall be required to notify the
tournaments no later than 5 days after entries close as to which tournament
they will be playing and the player shall be refunded their entry fee (but not
the TennisLink administrative fee).
Failure to withdraw by the deadline absolves the tournament from which
the player is withdrawing from their obligation to refund the entry fee and
will result in the assessment of 4 suspension points for withdrawing for reason
other than injury, illness, or personal circumstance.
·
As
a courtesy, a player that is accepted into one tournament and not the other(s)
should remove themselves from the alternate list of the other tournament(s) no
later than 5 days after entries close.
Failure to do so will not result in a penalty.
·
If
a player has not been accepted into any tournament, they may remain on the
alternate lists of all tournaments, but upon acceptance into one, they may not
withdraw from that tournament to play in another.
·
Under
no circumstances may a player after being accepted into one concurrent
tournament withdraw and play in another.
Doing so shall result in the assessment of 4 suspension points for
withdrawing for reason other than injury, illness, or personal circumstance.
Option 2 Procedure: TWO Divisions of
ONE Tournament
·
When
a USTA National Level 3 Tournament includes more than one age division, a
player may enter up to two age divisions of that tournament.
·
The
Tournament Committee shall select players who have entered two divisions in
descending age division order: 18; 16; 14; and 12. If a player is entered in two age divisions
of a USTA National Level 3 Tournament and is selected into the older division,
that player shall not be eligible for selection into the younger division, even
if there are openings in the draw at the time of selection or thereafter. If a
player is not selected for the older division, that player is eligible for
selection in the younger division and is eligible to be an alternate in the
younger division but not in the older division.
Selection Process
·
Selection: Players are accepted into a USTA
National Level 3 Tournament using the most recently published National
Standings List as of the date entries close.
·
Alternates: Alternates are ordered using the
same National Standings List used to select players into the tournament. Players with no National Standing are ordered
after players with standing by random drawing.
Late entries are placed on the bottom of the alternate list in the order
received. Late entries received at the
same time are ordered randomly.

criteria shall be used to do seeding at national junior tournaments.

seeded higher or lower if justified by the competitive range of the ratings.
Singles Seeding Criteria for USTA
Boys’ and Girls’ 14 and 12 National Championships
Seeding
shall be done using the most recently published National Singles Seeding List
of the division in the order in which players appear.

Players
may be moved within major groups (1-4, 5-8, 9-16, 17-32) due to direct wins if
players are separated by fewer than 100 ranking points.
·
Players
may be moved between major groups due to direct wins if players are separated

Teams
shall be seeded in the order of their combined standings (For example, Player A
holds the no. 1 standing and Player B holds the no. 10 standing. The Team of
A&B would have the combined standing of 11).
·
Tournament
Committees of 18-and-under tournaments may consider for seeding teams with
players who have ATP/WTA rankings, ITF rankings, or ITA rankings.
·
The
Tournament Committee of the USTA National Doubles Championship may consider for
seeding teams with players who have ITF rankings.
·
Teams
may be moved within major groups (1-4, 5-8, 9-16, 17-32) due to direct wins if
the teams are separated by fewer than 100 ranking points.
·
Teams
may be moved between major groups due to direct wins if teams are separated by
fewer than 50 ranking points.
Withdrawals and Entry Fee Refunds at
USTA National Junior Tournaments
It is a player’s responsibility
to immediately take action to withdraw from the tournament should circumstances
arise which would not enable a player to compete. Good sportsmanship and the
USTA Regulations dictate that a player should never:
• enter a tournament they do not intend to finish
• withdraw from a tournament after entries close unless it is for injury,
illness, or personal circumstance
• enter two or more concurrent tournaments without prior written approval from
each Tournament Committee
WITHDRAWING FROM A TOURNAMENT:
• Prior
to Entry Deadline: If entries have not yet closed, a
player may withdraw by going to the tournament’s USTA TennisLink Home Page -
the same web page that the player registered for the tournament. Once in the
system, click on the "Register Now" text in red. When taken to the
next page, click on "Withdraw" on the left hand side of the screen.
You will need your confirmation number from your original registration to
withdraw. Because your credit card will not be charged prior to the entry

• Previously Authorized Entries into Concurrent Tournaments: If
a player has previously received written approval to enter concurrent
tournaments from each Tournament Committee, the player must immediately notify
the Tournament Director and/or Referee to let them know which tournament the
player has chosen to play.
• After Entry Deadline: Immediately
contact the tournament if to withdraw from the tournament - telephone numbers
and email addresses of the Tournament Director and/or Referee will be posted on
the tournament’s USTA TennisLink Home Page. Players must also fulfill the
written verification requirements described below if the withdrawal is for
injury, illness, or personal circumstance and the player wants to avoid being
levied USTA Suspension Points.
ENTRY FEE REFUND:
• Player is Not Accepted Into Tournament: If
a player has previously paid an entry fee and is not accepted into the
tournament, the player is entitled to a refund. Generally, in
USTA National Junior Tournaments, no player is charged an entry fee until
tournament selection is done and the acceptance list is published to the
tournament website. The TennisLink processing fee paid in addition to the
entry fee is not refundable.
• Previously Authorized Entries into Concurrent Tournaments: If
a player has previously received written authority to enter concurrent
tournaments from each Tournament Committee, the player is entitled to a refund
from the tournament(s) that will not be played. The TennisLink processing
fee paid in addition to the entry fee is not refundable.
• Other Withdrawal After the Entry Deadline: Players
who withdraw after the entry deadline for any reason other than a previously
autorized entry into concurrent tournaments are not entitled to a refund.
USTA SUSPENSION POINTS:
Any withdrawal (other than for previously authorized entry into concurrent
tournaments) that does not meet the written verification requirements described
below by the last scheduled day of the tournament (and, in the case of personal
circumstances, has also been approved as a personal circumstance by the
Referee) will result in the player being levied suspension points and any match
that is not played will be coded as a Default.
WRITTEN VERIFICATION REQUIREMENT FOR
WITHDRAWALS DUE TO INJURY, ILLNESS OR PERSONAL CIRCUMSTANCE:
• Illness or Injury: The
required written verification of an injury or illness must be from a medical
professional and must be received by the tournament no later than the last
scheduled day of the tournament.
• Personal Circumstance: If
the player is withdrawing because of a personal circumstance, the player must
deliver a written description of the situation no later than the last scheduled
day of the tournament and the Referee will determine whether the situation is a
personal circumstance.
