GENERAL TOURNAMENT INFORMATION
PLEASE READ ALL INFORMATION BELOW BEFORE REGISTERING! When you register, be sure to provide your email address and cell phone number during the registration process. We do not have access to phone numbers and email addresses of the tournament participants UNLESS the player re-enters their contact information at the time of the event registration. This means that if a player does not enter their phone number and email information each time they register for a tournament, we will not be able to contact them for any reason, including withdrawals, defaults, etc. Your cooperation will ensure that we can continue to communicate necessary information to all of the tournament players.

USTA PLAYER’S RELEASER FORM
All players and parents must complete and sign a USTA Medical Release Form prior to match play. If a player is traveling without a parent, parents must send the signed release with the player. Please download the form and bring the completed form to the Tournament Registration desk when you check in for your first match. Additional forms will be available on site.

DOUBLES SIGN UP
All competitors that have been selected for singles will be eligible for doubles. Signing up for doubles online does not guarantee a spot in the draw.
If you have signed up for doubles but have not listed a partner by the time entries close, you will need to contact the Tournament Director via email at ttu@norcal.usta.com stating who your doubles partner is or else you will be paired up randomly with someone who doesn’t have a partner.
If you did not sign up for doubles online and wish to play doubles, you must sign up with a partner by Thursday, May 10th, 2012 by 9:00PM Pacific Standard Time via email to the Tournament Director. Those who need a partner should still send an email to the Tournament Director and state that they don’t have a partner.
It is not the responsibility of the Tournament Committee to match a player with a partner, but we will do our best to help pair as many players as possible. Failure to send this email will result in the players not being registered into the doubles draw.

POSTING OF DRAW AND SEEDING
The singles draw will be posted by Wednesday, May 9th. The doubles draw will be posted by 6:00PM on Friday, May 11th. Seeding will be posted by 6:00PM on Friday, May 4th.

PARKING & USE OF CLUB
Please do not park in the Harbor Bay Club’s parking lot. There is plenty of free street parking available right outside of the Club’s parking lot. You can also park at Amelia Earhart Elementary School, which is immediately on the right when you make the turn on Packet Landing Road. The Club’s parking lot is for members only.
Players will have access to locker rooms, showers and towels. There are two locker rooms at the Club but we recommend that the players use the junior locker room, which by the swimming pool near court #1.

DRAW SIZES AND FORMATS
The Singles Draw will be limited to 32 players. The Doubles Draw will be limited to 16 teams. All singles draws will have a Feed-In Championships (FIC) that feeds players in through the Quarterfinals. The FIC will be played through the semifinals. No finals will be played. The FIC will be considered part of the tournament and participation is mandatory for all singles main draw players. The doubles draws will be a Single Elimination.

3RD AND 4TH PLAYOFF
All singles and doubles draws will have a playoff for 3rd and 4th place. All players are required to play the third and fourth place playoff.

MATCH AND SCORING FORMATS
Match and scoring formats are as follows:
• Main Draw Singles (including playoff): Best of 3 Tiebreak Sets
• Feed-In Championships Matches: Best of 3 Tiebreak Sets with a 10-Point Match Tiebreak in Lieu of a 3rd Set
• Doubles: 8 Game Pro Set with a 10-Point Match Tiebreak at 8 games all

CHECK-IN PROCEDURES
Please check in at the tournament desk at least 15 minutes before your scheduled match time and drop off your completed USTA Medical Release Form. Please go to the bathroom, fill your water bottle, etc. before you check in.
Regulation IV.A.2. in the 2012 Friend at Court states, “The referee may penalize a player who is on site for lateness if a court is available and the player has failed to check in at the tournament desk by the scheduled match time." This means, if there is 1 open court at 10:00AM and there are 3 matches to put on, the Referee will start the clock for lateness for anyone who has not checked in for 10:00AM, even though there are not enough courts for all 3 matches.

PRACTICE COURTS & WARM UP COURTS
Limited practice courts are available at the club in the afternoon on Friday, May 11 (the day before the tournament). Please check in at the front desk if you are at the Club on Friday for practice. There will be warm up courts at the Club before the first match starts each day. There might or might not be courts available for warm up after that.
There are two parks nearby the Club with public courts:

WITHDRAWALS & REFUND OF ENTRY FEE
Withdrawals Prior to Entry Deadline: If entries have not yet closed, a player may withdraw by scrolling up this TennisLink tournament homepage and click “Withdraw” under the Edit Registration box. You will need your confirmation number from your original registration to withdraw. The “Location Confirmation Number” is also in the Edit Registration box. Because your credit card will not be charged prior to the entry deadline, no refund needs to be made.
Withdrawals After Entry Deadline: Immediately email and call the Tournament Director, at ttu@norcal.usta.com and (510) 263 – 0447 if you must withdraw from the tournament. Bona fide reasons for a withdrawal are illness, injury, or personal circumstances.
Withdrawals After Draw is Made: Immediately email and call the Tournament Director, at ttu@norcal.usta.com and (510) 263 – 0447. All withdrawals for any reason without the proper written notification are actually defaults.
The required written verification of an injury or illness must be from a medical professional. If a player is withdrawing because of a personal emergency, the player must deliver a written explanation of the situation and the Referee will determine whether the situation is a personal emergency. It can be faxed to (510) 748 – 7377 or emailed to ttu@norcal.usta.com. If you get a voice mail, please speak slowly and clearly and spell the player’s name if necessary and be sure to give a return phone number. Also, give your line number on the draw if you can.
Any withdrawal that does not meet the written verification requirements by the last scheduled day of the tournament will result in the player being levied suspension points and any match that is not played will be coded as a Default.
Refunds:
Player is Not Accepted Into Tournament: If a player has previously paid an entry fee and is not accepted into the tournament, the player is entitled to a refund. Generally, in USTA National Junior Tournaments, no player is charged an entry fee until tournament selection is done and the acceptance list is published to the tournament website. The TennisLink processing fee paid in addition to the entry fee is not refundable.
Previously Authorized Entries into Concurrent Tournaments: If a player has previously received written authority to enter concurrent tournaments from each Tournament Committee, the player is entitled to a refund from the tournament(s) that will not be played. The TennisLink processing fee paid in addition to the entry fee is not refundable.
Other Withdrawal After the Entry Deadline: Players who withdraw after the entry deadline for any reason other than a previously authorized entry into concurrent tournaments are not entitled to a refund.

DRESS CODE
Appropriate tennis attire is required at all times. Only shoes with non-marking soles are permitted.

RACQUET STRINGING & HITTING PROS
Racquet string at the Club is available. Stringing labor is $20. Please contact the tournament desk if you have any questions regarding racquet stringing. Please bring your own string because strings are not available at the Club.

AVAILABILITY OF TRAINER
Please check in with the tournament desk if have an injury or illness. There will be a doctor, nurse or certified athletic trainer on call during the tournament. By law, trainers are not allowed to distribute any medicine, even to adults. Please bring your own Tylenol, Advil, Sinus Medicine, etc.

The Wilson US Open ball will be utilized through the tournament.

INDOOR BACK UP POLICY
It is not likely to rain in Alameda, California in May. In case it does rain, there will be no back up indoor courts.

4 players are selected for each site from the most recent National Standings List of the next lower age division and 28 players are selected for each site from the age division of the event
Entry to this tournament is restricted. To see how entrants will be selected, follow the “Selection Process” link to the left. It is the player’s responsibility to check the selection list(s) after registering online to be sure that a check mark appears beside the player’s name on the list, in order to insure proper registration. Entries must be submitted by Thursday, April 19, 2012 11:59:00 AM Eastern Time. Only USTA members can register online if available.
