How the Pros make and schedule the draws. Among other things...
Before casting any stones toward the Pros we feel it necessary to explain the process of making and scheduling the many different draws that make up the club championships. Always keep in mind that our club tournaments are very unique, because it's not all about the players its also about the spectators. That's why we have the USTA teams host dinner nights and we have the tournament committee and fun committee to make sure everyone, not just the players are having a great time everyday throughout the tournament. This includes the raffle nights and all other events. To also keep in mind is the club tournaments are about participation and so it's that time of year where we want to see all of you play. It's a time for celebration and club camaraderie. It's the only tournament you will ever be a part of of this magnitude and one of the many reasons why being a member of The Irvington Club is so very special!
1) Insert all 200+ entries into the tournament software program. 2) Call/email/text more members to make the draws bigger and better. Goal is to get as many members as possible into the tournament. 3) After everyone is in we then evaluate each draw specifically to seed the top players/teams so they don't meet until the later rounds. 4) We then print out the draws and begin the scheduling process working backwards from the last few days to the beginning of the tournament making sure Finals are on the last Friday and Saturday of the event for all draws as best we can. 5) We figure out how many matches we can have on each individual day and pencil in random matches mixing matches as best we can so we can have different level matches at the same time for great viewing. This is tricky, because all 24 draws or so have different number of players/teams so we have to spread things out so every night is a "blockbuster night". We also consider what meals are served on the different nights and schedule matches accordingly. 6) On each individual day we stack matches from evening and work backwards to earlier in the day, because later is when folks come out to watch and eat and drink and want great tennis on the courts. We try our best to have only main draw matches scheduled during the week at 5pm, 6:30pm and 8:00pm. Consolation matches get the 9:30pm match times usually into the second week of the tournament. So try your best to win your first round. This isn't a guarantee, but most likely. We need four matches at every match time so that's why on a Saturday morning we might only begin at 9:30am and not 7:00am. We also have members playing in multiple events and so have to space matches out as best we can. 7) With a small club with only four indoor courts with over 200 people playing in this event its a surprise we can even fit this tournament into two weeks. 8) Then after the tournament draws and scheduling is complete we make use of the polished Rescheduling and Substitution Rules to keep the matches going. Hopefully this is helpful in understanding the way things are put together. The Pros experience of a combined 15 years of organizing and directing our club tournaments is how we got to where we are today with the rules that govern play.
Good luck and have another great tournament experience!
