CONDITIONS OF PLAY: Beginning January 1, 2014, all USTA Southern Level 3 tournaments will adhere to a set and consistent format. Taking cost and school day factors into account, the Junior Competition Committee has determined that the Level 3 tournaments will be conducted as follows:
Matches are only to be scheduled on Saturday and Sunday
Each division will consist of two 16 feed in draws, with dependent draws - The draws will be waterfalled to make two balanced draws - Each draw will use the new Level 3 Point table (increased points) - Selections will remain the same as in the past. The top 32 players will be selected using the same process for bringing in the lower age division (four from the top 40) - Up until Wednesday prior to the tournament start date, alternates will fill in for any withdrawn player. On Wednesday, the tournament director will split the 32 players into two balanced 16 draws using a format supplied by the Southern office - Seeding must be done using the Southern Seeding Calculator - After the draws are complete, the next alternate will fill a "withdrawal" spot no matter in which draw the withdrawal occurs. If a seeded player withdraws prior to 9:00 am local time the Friday before the tournament, the seeds shall be adjusted (only in that particular draw) according to FAC. If the withdrawal occurs after 9:00 am local time, the next alternate would be placed on same line as withdrawing seed - Out of Section players would be dealt as has been done in the past, only after all of our Section players have been taken care of first. - In the 12s division, four players from the 10s division will be selected by the guidelines but these players will not be considered for seeding - Players will be guaranteed three matches but most will have four
Point Table: - The new Level 3 point table will be used starting January 1, 2014
Draw information: - Two 16 feed in draws with dependent draws. - All single matches will be best of two with a match tiebreak to be used for the third - If the number of entrants for a division is less than 24, one draw will be made using a modified back draw. * This tournament has no doubles therefore all singles draws will have an "extra draw for singles". All players will be have three scheduled matches. *
SURFACES: Boys and Girls 10's, 12's, 16's and 18's are played on hard courts. Boys and Girls 14’s are played on clay. Due to inclement weather, the referee has the right to use additional surfaces at his/her discretion. Due to inclement weather, a 3rd set match tie-break may be used for all matches at the discretion of the referee.
TIMES: Play begins on Saturday, August 9th. First match start times are posted on-line Thursday, August 7th. Daily, players are to report to their respective match sites 30 minutes before their scheduled matches. The first points (not warm ups) on Saturday begin at 8:00 am.
ELECTRONIC DEVICES PROHIBITED ON COURT: Players may not use electronic devises on court that are designed for communication (cell phones, pda's, etc.) or data storage/display (pocket notebook, rolodex, word processor, etc.). Use of these devices will result in immediate code violation for unsportsmanlike conduct. (A device that is in the "ON" mode constitutes use.) Notes and printed material brought on court for reference with a player are permitted.
TOURNAMENT BALL: The Official Tournament Ball is Babolat and is provided for matches. Babolat balls are for sale in The Shop.
SIGNING UP FOR TWO DIVISIONS: -Players are allowed to enter two divisions with these guidelines: -Players selected to both age divisions they apply for will automatically be selected to the older age division. They are removed from the other age division. -Players not selected to either division remain on the alternate lists for both divisions, but are obligated to play in the division in which they first get in. They are then removed from the Alternate list in the other division. -Players selected to one age division are removed from the alternate list of the division they were not selected. -Once a player is selected for any one division no changes can be made.
MEDICAL RELEASES: Medical Release Forms have to be completed and signed by the PARENT OR LEGAL GUARDIAN. Parents-please do not send your child without this form completed. Print it now to save time and frustration later. This form has to be completed in order to check in. We will have blank forms at check-in.
BIRTH CERTIFICATES: All players must have a copy of a Birth Certificate or Green Card on file in the Southern office. THE CODE: In matches without an official on court, players are expected to follow The Code. If you've never read it, please do so.
PLAYER SELECTION SELECTION PROCESS: The MOST CURRENT USTA/Southern STANDINGS LIST is used for the SELECTION PROCESS. 28 players from the respective age group are selected and up to (4) players from the younger age group who are eligible and who have a standing in the top 40 of the younger age group are selected. If there are not (4) eligible players in the younger age group, remaining spots in the respective age group are filled with the next players from the respective age group. (FOR EXAMPLE, in the Girls’ 18 division, the top 28 players in Girls’ 18 – using the MOST RECENT Southern Standings List- who have applied are accepted as well as the top 4 players from the Girls’ 16 division who are eligible AND who have a ranking in the top 40 in Girls’ 16. If there are not four girls in Girls’ 16 who meet the requirements, the next player(s) in Girls’ 18 are selected into the event. The names of the players who have been selected appear as COMPETITORS.
ALTERNATES: The ALTERNATE LIST is made at the time of SELECTION according to the Southern Standing List at that time. PLEASE NOTE!!! WE CANNOT CHANGE THE ORDER OF THE ALTERNATE LIST. ONCE THE ALTERATE LIST HAS BEEN POSTED, THIS IS THE ORDER THAT IS USED FOR THE TOURNAMENT. Alternates are listed in the REPORT SECTION. DO NOT REFER TO THE ALTERNATES ON THE FAR LEFT SIDE OF THE WEB PAGE (That list is not updated). The ALTERNATE LIST is updated as soon as someone withdraws. IF NO ONE WITHDRAWS, THERE IS NOTHING TO UPDATE.
It is the alternate's responsibility to check the website to see if the ALTERNATE LIST has changed. The tournament makes every effort to contact an alternate if he/she is selected to play in the tournament. Make sure your contact information is correct on your membership profile. The tournament is not responsible for a player not selected in the event the tournament cannot contact him/her due to incorrect or outdated contact information.
Once an alternate is selected for play, payment is due immediately. Because ALTERNATES are not selected in the initial process, we cannot process your credit card. If you are offered a spot, please be prepared to call in credit card information. Your acceptance is not final until entry fee has been received.
It is your duty to notify us if you have reached the "point of no return" for travelling. We understand that some of you may not be able to come at a moment’s notice if a spot opens. Please be courteous and withdraw from the alternate list if you know you cannot travel. As long as you are on the Alternates by Event Report, we assume you can still attend.
LATE ENTRIES: Anyone wanting to enter the tournament after registration closes, has to email tennis.office@racquetclubofmemphis.com. If there are alternates in the division you wish to enter, late entries go below all other alternates, regardless of ranking.
ON SITE ALTERNATES: On- Site Alternates must CHECK-IN at the OFFICIAL TOURNAMENT CHECK-IN on Friday, August 8th. The official On-Site Alternate List for each age group is ordered according to the Official Alternate List posted in the weeks leading up to the event. On-Site Alternates MUST CHECK-IN Saturday morning with the referee at the respective sites (14's at Racquet Club, 12's at Leftwhich, etc). After this it is a waiting game. If a player does not show up for his/her FIRST match or withdraws before playing his/her FIRST match, the first player on the On-Site Alternate List is notified. On-Site alternates must be ON-SITE when called, or the next player on the On-Site list is notified.
WITHDRAWALS: If you need to withdraw before entries close, you must do so online. Click on edit registration, then withdraw. You will get a confirmation number- KEEP THIS NUMBER! Without the confirmation number you will not have proof that you withdrew.
All withdrawals after entries close must also be sent in writing by email to tennis.office@racquetclubofmemphis.com. Players withdrawing within 7 days of the tournament start date will not be refunded the entry fee. PLEASE, contact us immediately if you realize that you cannot come. An official withdrawal MUST BE SENT VIA EMAIL to tennis.office@racquetclubofmemphis.com.
You will receive a penalty unless you have a documented medical excuse faxed/emailed to us at the time of withdrawal. You will not receive a refund no matter the excuse. If you must withdraw during the Tournament, you must see the trainer and get approval from the Head Referee at The Racquet Club. Do not tell anyone at the desk and think you have properly defaulted. Unless you speak to the Head Referee in person, it is counted as a "No Show." No telephone withdrawals are accepted. You must see the Head Referee in person or it will be counted as a "No Show" which carries 5 suspension points.
CHECK-IN PLAYER REGISTRATION: There is a Mandatory Check-In on Friday, August 8th, 6:00-8:00 pm, at THE RACQUET CLUB OF MEMPHIS. Waivers must be signed on Friday night BEFORE participants are allowed to play. During the Friday night registration, a complimentary dinner is provided at the Racquet Club of Memphis.
Door Prizes: We are giving away door prizes throughout registration! There are lots of prizes and lots to do so plan to stay awhile and enjoy yourself.

Directions from WELLWORX to RACQUET CLUB: Exit Wellworx left onto Shelby Oaks Dr. Left at the 1st light onto Sycamore View. Merge onto I-40 W toward Memphis. Merge onto I-240 W via exit 10 A toward Jackson, MS. Take Poplar Ave.W via exit 15 and continue approx..8 miles on Poplar. Take a right onto White Station Rd. Left at 1st light onto Sanderlin. SITES AND DIRECTIONS: The tournament is hosted at 4 sites throughout Memphis. Our host site will be The Racquet Club of Memphis located at 5111 Sanderlin Avenue, Memphis, TN 38117, in East Memphis.
The Boys' and Girls' 10 is held at the Racquet Club of Memphis on hard courts. The Boys' and Girls' 12 is held at Leftwich on hard courts courts. The Boys' and Girls' 14 is held at the Racquet Club of Memphis on clay courts. The Boys' and Girls' 16 is held at Memphis University School on hard courts. The Boys' and Girls' 18 is held at Rhodes College on hard courts.

Left at 1st light onto Sanderlin. From I-55 North: Merge onto 240 East via exit 6A toward Nashville. Take exit 17-Mt. Moriah North. Left onto Mt. Moriah. Right at 2nd light onto White Station Rd. Directions from RACQUET CLUB to MEMPHIS UNIVERSITY SCHOOL: Exit RC right onto Sanderlin. Right at first light onto White Station. Left at 1st light onto Poplar Ave. Continue appr. 2.5 miles. Right at light onto Ridgeway. Take a left at the 2nd light "Primacy Parkway" into the high school. Go thru the security gate and take a right at the first turn. Directions from Memphis University School to RACQUET CLUB: Exit Memphis University School right onto ridgeway. Continue thru first light and take a left onto poplar. Continue appr. 2.5 miles and turn right onto White Station. Turn left at Sanderlin (next light). RC will be on your left. Est. time 11 minutes.
Directions from RACQUET CLUB to RHODES COLLEGE: Exit RC left onto Sanderlin. Left at first light onto Mendenhall. Right at 1st light onto Poplar Ave. Continue 5.1 miles turning right onto East Parkway. Take left at 2nd light onto North Parkway. Turn right at 1st light onto University. Turn right into 2nd college entrance. Left at dead end and follow road around courts. Est. Time: 15 minutes
Directions from RHODES COLLEGE to RACQUET CLUB: Exit Rhodes college turning left on University. Turn left onto North Parkway. Turn right at 1st light onto East Parkway.
