Practice Courts / Warm-Up Sites
The Lamar Tennis Center will open at 6:30am for warmup (Sat, Sun, Mon) and Highland Road Park will open at 7am for warmup (Sat and Sun).
Practice/Warm-Up courts can be found at Highland Road Park and the Oaks at Sherwood. These courts are reserve only and you must call ahead to assure a court.
Highland Road Park -- located at intersection of N Amiss Rd and Chester Drive. Directions will be given at the check-in site for precise location. Phone (225) 766-0247. Cost is $4/hr
The Oaks at Sherwood - 1655 Sherwood Forest Blvd Baton Rouge, LA 70815. Contact Ray Anders at (225) 773-1026 to reserve your court at $4/hr.

MANDATORY Check-In
Mandatory means just that--it is madatory! We will have check in from 3-7pm at the Lamar Tennis Center. You must check in BEFORE you step foot onto the court. We have posted the time as 7pm, but will be at the Lamar Tennis Center as long as the Friday night doubles matches are still going on.
We are staying late Friday night for your convenience. We feel strongly that you should be able to make it by that time, for no other reason than your children need proper rest for their match the next day. For those that "Just Can't Make It" by then, you need to do the following:
1. Make sure your entry fee has been paid by checking the "Tournament Entry Fee Report" that will be posted Thursday
2. Print out a Medical Release Form at home and have it already filled out and ready to turn in Saturday morning at the check in desk at the Lamar Tennis Center
3. If you are playing at any other site Saturday, you still must check-in at the Lamar Tennis Center before going to your location. All sites are within 15 minutes of each other. Please leave enough travel time for traffic or accidents or anything else that may go wrong
We will only be having 1 person checking in the players who could not make the Friday night check in. This is obviously not enough time to check everyone in 30 minutes before their match times. If you are not on your court by your assigned time, you WILL be penalized. Not checking in the night before is not an excuse for being late for your match. We cannot predict if there will be only 5 people or 50 people checking in when you will be. Any line causing you to be late is unfortunately your problem that could have been avoided.
Again, we are here until 8pm for your convenience.

TRAINERS
We will have 1 on-site trainer at the Lamar Tennis Center. By US law, trainers are NOT allowed to distribute medicine. Please bring your own Advil or other medication your child may need. The trainer for this tournament is Brandon Cazaubon. He will be on call Friday night, and then on site at the Lamar Tennis Center Saturday and Sunday. If you need the trainer, come to the Lamar Tennis Center. You can also call the LTC desk number.
If you have an injury or illness, we strongly suggest that you see the trainer. The trainer is there for your benefit. IF you need to withdraw due to an injury or illness, the process will be much smoother if we have confirmation from the trainer. Without confirmation or a doctor's excuse, you may incur suspension points for leaving.
Remember that if you default due to an injury during the tournament, you must see the Head Referee in person or it will count as a "No Show", (ns) in tennislink.

On-Site Alternates
Onsite alternates should notify the tournament referee that you intend to be here as an onsite alternate. On Saturday morning, report to site where your age division is playing. If an opening occurs, alternate will be entered in the same order as on the Ordered Alternate List published on the website.

Sites
We will be using the Lamar Tennis Center (10 hard courts, and 10 clay courts) Friday thru Monday. (LTC and LTCcl on draw, the "cl" part designates the clay surface) Address is 8100 YMCA Plaza Blvd, Baton Rouge, LA 70810
Other sites to be used are Highland Road Park (HR on draw). Highland Road address is at intersection of N Amiss Rd and Chester Drive. We will have directions at the check-in site for precise location. This site does not have a GPS address. If you google for a GPS address, it will lead you to Highland Road Park Observatory, which is NOT where the tennis center is located. Use the intersection listed above, or get directions at check-in.

Medical Release Forms
Medical Release Forms must be completed and signed by the parent or legal guardian. Parents, please do not send your child without this form completed. This form must be turned in during check-in.

Format / Schedule of Play
All main draw matches will be best 2 out of 3 tiebreak sets.
All consolation matches will be best 2 out of 3 sets, with a match tiebreaker (10-point tiebreaker) in lieu of the third set. The 3rd set tiebreaker is played to 10 points, and must be won by 2.
All singles divisions will be a full feed-in consolation through the quarterfinals.
There will be a 3rd/4th playoff in the main draw singles.
Doubles will consist of a 32 single elimination draw. An 8 game pro set will be played with a 7 point tie break at 8 all.
Friday: 2 rounds of doubles
Saturday: 2 Main Draw Rounds, 1 Consolation Round, 2 Doubles Rounds
Sunday: 2 Main Draw Rounds, 3 Consolation Rounds, Finals and 3/4 playoff for Doubles
Monday: 2 Main Draw Rounds, 3 Consolation Rounds
We may use short scoring in the Main Draw in order to stay on schedule.
Remember: Nothing Cancels, unless it all Cancels.

1/20 SUNDAY: Deadline to register or withdraw online. To withdraw - click on "edit registration" in the column on the right, then follow instructions to withdraw
1/21 MONDAY: After the above date, please email any withdrawals to jwahlborg1@gmail.com (NO PHONE OR FAX)
1/22 TUESDAY: Selection Lists and Ordered Alternates Report will be posted to this website... We will assume that if your name is on the alternate list that you can still play should someone withdraw and a spot open up, unless you email a withdrawal notification prior to your selection. Once an alternate has been selected, your entry fee must be paid immediately before we can put your name in the tournament. Pay the fee by calling the pro shop at 225-612-2420.
1/22 TUESDAY: Doubles Registration OPENS
1/24 THURSDAY: Start contacting alternates (using emails provided at registration) for any open spots. You have 24 hours to respond.
1/25 FRIDAY: Doubles Registration CLOSES. See doubles site for full details.
1/26 SATURDAY: Last day to withdraw with a documented excuse and receive a refund
1/28 MONDAY: Seeds will be posted today by 5 pm
1/31 THURSDAY: First match times will be posted.
2/1 FRIDAY: 9:00am: Stop calling Alternates. Anyone who pulls out of the tournament after this time will be replaced by an on-site alternate.(see procedure below for withdrawal procedure)
2/1 FRIDAY: Mandatory check in at the Lamar Tennis Center from 3-7 pm. Draws will be posted at this time
2/1 FRIDAY: 5:00 pm Doubles play will begin. 2 rounds will be played
2/2 SATURDAY: 8:00 am Singles play begins - 2 Main and 1 consolation. 2 rounds of doubles will also be scheduled
2/3 SUNDAY: 8:00 am Singles play continues. 2 rounds of Main, 3 rounds of Consolation. Final and 3/4 playoff of doubles will be played.
2/4 MONDAY: 8:00am Singles play concludes. SF and F of Maiin draw. 3 rounds of consolation (through SF)

Surfaces
We will be using both hard and clay surfaces.
Girls 16 division will be played on clay at the Lamar Tennis Center. Boys divisions and Girls 18s on hard.

SEEDING
Seeding shall be done using the results from most recently published USTA Southern Combined Standings Lists at the registration deadline of this tournament of the division in the order in which players appear on the list.
Also to be considered:
- Players with low Southern Standings with National top 50 Standing, should be placed in 1-4 Seeding.
- Players with low Southern Standings with National top 51-100 Standing, should be seeded in the 5- 8.
- Players with low Southern Standings with National top 50 Standing, in the lower age division should be placed in 9's Seeding.
Players with current top 50 USTA National standing, top 100 ITF ranking, top 10000 ATP or WTA rankings will be considered for seeding. Please make the tournament aware of your status in these rankings.

Doubles Seeding
Teams shall be seeded in the order of their combined standings (e.g., Player A holds the #1 standing and Player B holds the #10 standing. The Team of A & B would have combined standing of 11.) Teams that have the same combined standing shall be seeded in the order of the total number of Doubles standings points held by each team. Players with current top 50 USTA National standing, top 100 ITF ranking, top 10000 ATP or WTA rankings will be considered for seeding. Please make the tournament aware of your status in these rankings.

Withdrawals
If you are going to withdraw, here is all the important information you need to know.
Before the singles deadline, Sunday, January 20, 2013 at 11:59 PM Local Time (Central Time), go to the tournament website (you are here right now) and click "EDIT REGISTRATION" on the right side of your screen, then click "WITHDRAW". If you do not know your Confirmation #, then click "Locate Confirmation" just below the "withdraw" link. We cannot withdraw you before the deadline, you must do this yourself.
If you withdraw after Sunday, January 20, 2013 at midnight, then you must email your withdrawal to jwahlborg1@gmail.com. DO NOT CALL TO WITHDRAW. You will receive a refund by mail after the tournament is completed.
If you withdraw after Sunday January 27 at 6am, you must email your withdrawal to jwahlborg1@gmail.com. DO NOT CALL. You will not receive a refund after this date. You must provide a reason for the withdrawal.
If you withdraw after Tuesday, January 29, 2013 at 11:59 PM, you must still email your withdrawal to jwahlborg1@gmail.com and you will NOT receive a refund. You must include a documented medical excuse in the email, or fax, or you will receive a penalty.
Defaulting during the tournament:
You must see the trainer and get approval from the Head Referee at the Lamar Tennis Center (the host site). Do not tell the desk and assume you have properly defaulted. You must speak to the Head Referee in person or it will be recorded in the computers as a "No Show (ns)". If you are off-site, have the tournament desk at that location call the Head Referee to speak to her. No telephone withdrawals will be accepted. You must see the Head Referee in person. A "No Show" counts as 5 suspension points.

First Round Match Times
First Round Match Times will be posted on Thursday morning. The "Future Match Info Report" will show your division, match time, location for you to see and check.

Alternates
It is your responsibility to notify us of your most current information by filling out the proper information at registration. We will call the phone numbers or use the emails given to us in Tennislink to notify you of an opening in the draw. We communicate by email until the tournament start is extremely close, then we will use the phone numbers in tennislink.
Ordered Alternates list:
This is the order that alternates will be placed in the draw. This report is made by the most recent southern Standings List at the time of the deadline of registration. This report will be posted after the selections have been made.
PAYMENT:
By email, we will notify you how to contact us to pay for late entry. Since you were not selected in the original selections, your credit cards were never charged. Late Entries, via alternates, must be paid by calling the pro shop at 225-612-2420 and processing the payment (credit cards only) before we can place you in the draw. The alternate will not be listed as a competitor until the payment has been received. The entry fee is $60 for singles.
POINT OF NO RETURN:
It is your duty to notify us once you have been placed on the alternate list that there is no way you can participate in the tournament should a spot open up for you to play. If your name is on the alternate list, you are saying that you can play. We understand that you may not be able to drop everything and change your plans last minute, so please be courteous and email us at jwahlborg1@gmail.com to remove you from the alternate list, even if it is the night before and you live way too far away to make the trip last minute.
ON-SITE ALTERNATES:
You need to report on site for your division 30 minutes prior to the start of the first match for that division and be present during all the first round match times of that division. If there are more that one on-site alternate, we will go by the order of the Ordered Alternate List to make the selection. You must notify the desk that you are there in order for us to know to put you in the draw. If you are not present if a spot opens up, you will not play. So it is important to remain on-site until all the first round matches have started if you want any chance at playing.

NEW RULE FOR 3 MINUTE REST BREAK BEFORE MATCH TIEBREAK
When using a 10 point tiebreaker in lieu of the full 3rd set, there will be a mandatory 3 minute break. Coaching will be allowed on court or at a designated location near court. There will be no coaching during a toilet break. No new balls.

MATCH CHECK IN RULE (Reminder)
Regulation IV.A.2 now states "The referee may penalize a player who is on site for lateness if a court is available and the player has failed to check in at the tournament desk by the scheduled match time." > THIS MEANS, IF THERE IS 1 OPEN COURT AT 10:00 AND THERE ARE 3 MATCHES TO PUT ON THE REFEREE WILL START THE CLOCK FOR LATENESS FOR ANYONE WHO HAS NOT CHECKED IN FOR 10:00 - EVEN THOUGH THERE ARE NOT ENOUGH COURTS FOR ALL 3 MATCHES.

FORMAT AND SCORING
Draws will be 64 players with a Full Feed In through the Quarters and 3/4 playoff. Main Draw will play the best two out of three tie-break sets. Feed-in consolations will be the best of three sets playing a 10 point match tie break in lieu of third set. In the event of inclement weather, match format is subject to change. The Consolation draws will play three matches on Sunday and three on Monday.

Stringer
We will have a stringer at the Lamar Tennis Center. Price list for our string is posted in the pro shop. We carry Prince strings. We can still string your racket if you wish to bring your own string.

Rain Policy
In the event of heavy rain, the tournament will consult with the Southern Office on how to push the matches back or reschedule. The tournament is scheduled through Monday, February 4, 2013, so everyone should prepare to play on Monday.

Refund Policy
Once the deadline for withdrawing and receiving a refund is past (Sunday, January 27 at 6am), there are no refunds.
If the tournament is cancelled due to mother nature, there will be no refunds.

Selection Criteria
Entry into this tournament will be based on the selection criteria of 56 from the age group of the event and UP TO 8 from the lower group who do not make it in the first 56 and who are in the top 80 of the Southern Standings in the lower age group at the time of the selection.
There will be a full day of play on Monday. Prepare to stay through Monday.
If you enter doubles, you MUST enter in the same age division as singles for this tournament

Rules for Entering more than 1 Division
Players are allowed to enter 2 divisions in all Southern Level 3 and Bullfrog events with the following rules:
1. Players selected into both age divisions will automatically be placed in the older age division. They will be removed from the younger age division.
2. Players not selected into either division will remain on both Alternate Lists, but will only be able to play the first one they get accepted in to. You can NOT be accepted in to 1 division and stay on the other alternate list in hopes to get in.
3. If you are selected in the younger age division at the original selection process, you will be removed from the older division alternate list.
4. Once a player is selected for any one division, no changes can be made. There are NO EXCEPTIONS to this rule. The selection process is very precise and we will follow these guidelines. If you feel you have made an incorrect decision during your entry process, you can edit it before the online registration closes. Once the online registration closes, nothing can be changed and these rules will be followed.

Birth Certificate / Proof of Citizenship
All players must have a Birth Certificate on file in the Southern office or proof of US citizenship. Green cards will be accepted, but passports will not be.

Doubles
We do have doubles, but you must enter separately. The registration will open on Tuesday January 22 and close on Friday January 25 at 11:59 PM, one minute before midnight.
You must sign up in the same age division that you were selected for singles.
We do NOT partner players and cannot give out contact info on other kids. DO NOT EMAIL US asking for someone's contact info as we CAN NOT give that information out. DOUBLES FORMAT AND INFO
Doubles draws will ALL play an 8-game pro set. 7-point tiebreak played at 8-8.
You must check in for the tournament before you play your first doubles match. We will begin check-in at 4pm, with matches starting at 5pm. OFFICIAL BALL
The official tournament ball is Dunlop. We do not have any Dunlop balls for sale at any of the sites. You must bring your own if you wish to practice with Dunlop balls.

Missed the Doubles Entry Deadline?
If you and your partner missed the doubles entry deadline, we can still enter you in doubles. We will not accept any DOULBES late entries after NOON on Sunday Janaury 27. BOTH PLAYERS of the DOULBES team must email jwahlborg1@gmail.com to be entered in doubles.
IF YOUR PARTNER ENTERED online ON TIME, BUT YOU DIDN'T, we need to hear from you to confirm that you agree with the pairing. Otherwise, we can NOT assume that both players are supposed to be playing with each other and therefore will not be placed in the draw.
